Job summary

Evergen is seeking an experienced contract Tradeshow Planner to manage exhibits, conferences, and associated events for our medical device initiatives. This remote US-based role supports domestic tradeshows, with responsibilities spanning venue contracts, housing, AV, catering, and shipping of demo assets.

You will coordinate with cross-functional teams, ensure HCP compliance, and drive end-to-end event logistics, including post-event ROI and budget reconciliation.

Qualifications

• 5+ years in tradeshow and corporate meetings planning.
• Knowledge of HCP compliance (Sunshine Act, AdvaMed).
• Excellent organizational and written/verbal communication skills.
• Experience with event/registration platforms (e.g., MS Suite, Adobe, AddEvent).
• Strong project management and budget-tracking skills.
• Ability to travel if required.

Responsibilities

• Plan, coordinate, and execute logistics for domestic tradeshows, conferences, and customer dinners.
• Manage end-to-end logistics: venue selection, contracts, booth/exhibit space, housing blocks, AV, catering, signage, and shipping of demo units/collateral.
• Assist with coordination with exhibit house vendors on booth design, fabrication, drayage, and I&D schedules.
• Track and manage event calendar, budgets, vendor invoices, and cost reconciliation.
• Work closely with cross-functional teams (commercial, marketing, communications).
• Ensure compliance with industry regulations, including HCP interactions, Sunshine Act reporting, and company policies.
