Oates Energy, Inc. is seeking an Order Processing Specialist to join our remote operations team. You will review, enter, process, and track customer orders, ensuring accuracy and proper documentation across internal systems.

Qualifications

• Previous experience in order processing, data entry, customer service, administration, operations support, or a related field preferred.
• Strong attention to detail and accuracy.
• Excellent written and verbal communication skills.
• Strong organizational and time-management abilities.
• Comfortable using computers, email, spreadsheets, and web-based applications.
• Proficiency with Microsoft Office Suite preferred.
• Ability to work independently in a remote environment.
• Experience with CRM, order-management, billing, or business systems is a plus.
• High school diploma or equivalent preferred.

Responsibilities

• Review incoming orders and requests for completeness and accuracy.
• Enter orders and customer information accurately into company systems.
• Process orders according to established company procedures.
• Verify customer, account, service, and order information before processing.
• Review requests for missing or inconsistent information and follow up as needed.
• Track order status and maintain accurate processing records.
• Coordinate order-related requests with operations, billing, customer service, and other internal teams.
• Respond to routine order and processing inquiries by phone, email, and other approved communication channels.
• Communicate order updates and status information to appropriate customers or internal personnel.
• Update customer and order records when changes or corrections are required.
• Monitor outstanding orders and follow up on pending items.
• Identify processing errors or discrepancies and route issues to the appropriate team.
• Maintain organized electronic records and supporting documentation.
• Prepare routine reports and summaries related to order activity.
• Follow established data-entry, processing, documentation, and quality-control procedures.
• Protect customer, financial, and company information.
• Follow company privacy and data-handling requirements.
• Meet established accuracy, productivity, and response-time expectations.
• Assist with other order-processing, administrative, and operational responsibilities as assigned.
