Qualifications

Responsibilities

  • Assist the Senior Operations Manager with day-to-day tasks and project execution.
  • Draft and maintain standard operating procedures and process workflows.
  • Organize meetings, trainings, and prepare agendas.

SCHEDULE: Monday-Friday 9am-6pm EST

PRIMARY PURPOSE

To support the leadership team with operational tasks, strategic initiatives, and service excellence, ensuring seamless coordination and process improvements.

ESSENTIAL FUNCTIONS and RESPONSIBILITIES
  • Assist senior management with daily tasks and projects across departments.
  • Draft and maintain SOPs, workflows, and guidance materials.
  • Organize meetings, trainings, and department sessions; prepare agendas and notes.
  • Create PowerPoint presentations for leadership and clients.
  • Conduct market research and assist with housing placements and vendor sourcing.
  • Manage calendars, deadlines, and shared documents, including Excel trackers and housing databases.
  • Support vendor relationships and documentation, including negotiations.
  • Assist with onboarding, training materials, and scheduling for new hires and cross-trained staff.
ADDITIONAL FUNCTIONS
  • Perform other duties as assigned.
  • Support quality programs.
  • Travel as required.
QUALIFICATIONS
Education & Licensing

Bachelor's degree or equivalent preferred.

Experience

At least 2 years in administrative, operations, or support roles, preferably in insurance, housing, real estate, or corporate services.

Skills & Knowledge
  • Proficiency in Microsoft Office Suite.
  • Strong communication and presentation skills.
  • Analytical skills, especially with Excel.
  • Problem-solving and organizational skills.
  • Ability to maintain confidentiality and work in a team.
  • Experience with SOP creation and vendor tasks is a plus.
WORK ENVIRONMENT
