Primary Function
Answer incoming calls from our patients and triage high acuity patients to provide outstanding customer service in support of our mission, goals, and values.
Essential Duties And Responsibilities

- Answer incoming calls with a professional, upbeat, friendly attitude.
- Follow prepared scripts based on call type.
- Register new patients by gathering information and entering XPM system.
- Verify insurance coverage and information.
- Set patient appointments and identify future visits.
- Document accurately within all systems (XPM, CRM, EHR).
- Label and document questions/messages for Clinicians using our communication protocol.
- Maintain customer databases.
- Obtain and confirm patient/caller information, complying with HIPAA.
- Gather necessary information over the phone for physician follow-up.
- Complete referrals for provider approval.
- Provide product and service information to customers.
- Respond to patient inquiries and research information as needed.
- Communicate with offices and handle customer complaints.
- Meet performance standards and attend training sessions.
- Other duties may include outbound calls, copying, faxing, etc.
Additional Clinical Functions
- Provide medical guidance via telephone using protocols and clinical judgment.
- Document medical advice given over the phone.
- Schedule appointments using clinical prioritization protocols.
- Answer calls from Patient Contact Center Representatives and triage high acuity patients.
Qualifications
Education
- High School diploma or equivalent.
Experience
- At least one year in a call center environment preferred.
- Knowledge of XPM and CRM systems desired.
- Experience with automated call systems preferred.
- Customer service experience required.
Licensure / Certification
- Registered Nurse license required for Clinical Agent roles.
Skills and Abilities
- Knowledge of XPM/EHR, contact recording, and routing systems.
- Strong verbal, written, and interpersonal communication skills.
- Experience in coaching and mentoring.
- Teamwork, multi-tasking, attention to detail, and PC proficiency, including Microsoft Office and PowerPoint.
Working Conditions
- Non-patient facing; remote or in-office options.
- High call volume environment.
- Extended periods of data entry and sitting.

- Vision, hearing, and touch.
