Job summary

Job Duck LLC in the United States is seeking an Intake Specialist to deliver a professional, responsive first experience to prospective clients. You will manage inbound leads, answer calls, schedule paid consultations, coordinate calendars, and maintain CRM records.

This full-time role supports a collaborative legal team across estate planning, probate, partitions, and personal injury. Remote-friendly, 8:00 AM to 5:00 PM EST, with a focus on accuracy, clear communication, and timely follow-up.

Qualifications

• Minimum of 1 year in a client-facing role such as customer service or sales.
• Advanced/native-level English skills (both written and spoken).
• Experience in intake, lead management, customer service, appointment scheduling, reception, or a related client-facing role

Responsibilities

• Make outbound calls to prospective clients who require additional follow‑up
• Manage inbound leads and guide prospective clients through the initial intake process
• Answer incoming calls and provide a professional first point of contact for prospective clients
• Schedule paid consultations and add appointments to the appropriate calendar
• Collaborate with the legal team to support consultation scheduling and lead conversion efforts
• Communicate professionally with prospective clients and internal team members
• Support a consistent and organized intake experience
• Track lead activity and update communication records in the CRM
• Coordinate appointments through Calendly and Outlook
• Send consultation reminders and follow‑up communications
• Maintain accurate and current lead information in Clio Grow and Clio Manage
