Friedman Williams seeks an experienced IP Docketing Manager to lead the firm’s IP docketing across U.S. and foreign patent and trademark matters. You will manage a team, own IP management systems, and drive process improvements in a deadline-driven environment.

You will collaborate with attorneys, paralegals, and leadership to ensure accurate docketing, compliance, and timely filings while developing policies and KPIs to monitor performance and quality.

Qualifications

  • 7+ years of IP docketing experience in a law firm setting (U.S. and foreign patent/trademark).
  • 3+ years of experience leading or supervising an IP docketing team.
  • Expert knowledge of U.S. patent rules, PCT procedures, EPO guidelines, and foreign filing requirements.
  • Hands-on experience administering IP management systems and data integrity.
  • Advanced Excel skills for dashboards, reporting, and metrics.
  • Familiarity with document management and financial systems is a plus.

Responsibilities

  • Lead, coach, and evaluate IP docketing professionals; set performance expectations and development plans.
  • Allocate workloads, manage coverage, deadlines, service levels, and quality.
  • Oversee all U.S. and foreign patent and trademark docketing workflows (PCT, EPO, WIPO).
  • Ensure accurate docketing of filings, deadlines, and correspondence; resolve discrepancies and complex rules.
  • Serve as system owner for IP management systems; ensure data integrity and optimal configuration.
  • Support system upgrades, migrations, testing, and change management for IPMS.
  • Develop, document, and enforce docketing policies, SOPs, and productivity standards.
  • Define, track, and report KPIs; prepare standard and ad hoc reports for attorneys.
