Job summary

American Heart Association is seeking an Operations Manager, Government Grants to join our team. This full-time, grant-funded role offers flexible/home-based work and reports to the National Government Funding Director.

You will support budget planning, compliance, and coordination across investigators and teams throughout grant lifecycles. The ideal candidate has 3+ years' experience, a Bachelor's or equivalent, and strong knowledge of OMB Uniform Guidance, NIH policies, and federal grantors

Qualifications

• Bachelor's degree or equivalent work experience.
• At least 3 years of relevant experience.
• Understanding of financial systems, journal entries, and expense management, including budget development.
• Understanding of OMB Uniform Guidance and NIH policies.
• Familiarity with federal grantors such as CDC, HRSA, and NIH.
• Experience in project management in compliance with federal and state regulations.

Responsibilities

• Expense Review: ensure expenses and invoices are completed, reviewed, approved, and submitted promptly.
• Prior Approval Requests & Compliance: identify activities requiring prior approval or waivers and support documentation.
• Budget Planning and Monitoring: assist budget planning, monitoring, and forecasting; coordinate revisions and approvals.
• Personnel and Compensation Documentation: review personnel allocations and effort-related materials to ensure charges align with activities.
• Subrecipient and Contractor Coordination: coordinate operational documentation, forms, approvals, and monitor subrecipients.
• Communication, Reporting, and Deliverable Tracking: draft responses, maintain project logs, track milestones and reporting requirements.
• Cost Transfers and Expense Reallocations: support routing and approvals for cost transfers; escalate issues as needed.
• Records Management and Closeout Support: maintain audit-ready project files and closeout materials.
• Other Duties: perform other duties and projects as assigned.
