Grand Valley State University seeks a Centralized Client Intake Manager to lead a statewide, standardized intake model. You will oversee a centralized team, drive high-performance processes, and align tech stacks including Salesforce and Google Workspace to match clients with the right consultant by geography and expertise.

The role emphasizes leadership, SOP development, and AI-enhanced data workflows, with a remote-first configuration and travel for leadership meetings as needed.

Qualifications

• Bachelor’s degree or equivalent combination of education and professional experience.
• 2–3 years of supervisory experience with staff and scheduling coordination.
• Operational experience with professional operations, workflows, or intake systems.
• Experience creating SOPs and ensuring consistency across a team.
• 3+ years in high-volume customer-facing scheduling or intake operations.
• Strong written and verbal communication; change-management capabilities.
• Proficiency with Google Workspace or Microsoft 365; quick learner of new tools.

Responsibilities

• Lead and supervise a centralized team of intake specialists (3–5).
• Recruit, hire, onboard, and train intake staff; develop scripts and triage logic.
• Audit Salesforce data entry and intake notes for statewide compliance.
• Manage shift coverage and scheduling across regions; ensure 100% coverage.
• Own workflows to standardize intake experience across all regions.
• Bridge frontline intake with Regional Directors and Lead Center.
• Oversee tech stack alignment (Salesforce, Google Workspace, Calendly, Slack).
• Guide AI enhancements for data extraction and process improvements.
• Track Lead-to-Consultant metrics and justify budget needs.
