Job summary

ClearDATA is seeking a Deal Desk Contracts Administrator to support our Sales and Professional Services teams. The role handles quotes, contracts, SOWs, and related documentation from approved pricing through signature and handoff.

The position is remote for candidates who can work from the US or Canada, requiring strong organizational skills and attention to detail to manage multiple deadlines and ensure accurate, compliant documents.

Qualifications

• Associate or bachelor’s degree in Business, Operations, Legal Studies, or related field; equivalent experience considered.
• 1–3 years in sales operations, deal desk, contracts administration, order management, legal operations, or similar coordination role.
• Experience preparing or administering quotes, contracts, SOWs, order forms, renewals, amendments, or e-sign workflows.
• Strong organization, follow-through, communication, and attention to detail with ability to manage multiple deadlines.

Responsibilities

• Manage deal-desk intake and track requests, documents, approvals, owners, customer actions, and target dates.
• Prepare quotes and commercial documents with Account Executives using approved pricing and templates.
• Coordinate SOW development with Sales, technical resources, and Professional Services.
• Capture project scope, milestones, pricing, and responsibilities in each SOW accurately.
• Review SOWs for completeness, scope, and changes before signature.
• Draft and update orders, SOWs, amendments, changes, renewals, and cancellations; verify dates and signatures.
• Route nonstandard pricing, contract language, or security terms to Finance/Legal/Sales leadership.
• Track redlines, versions, and electronic signatures; follow up to move deals.
• Maintain organized deal files and accurate CRM records in Salesforce.
• Prepare and audit closed-won docs for onboarding, billing, and handoffs.
