Job summary

Willow Health is building a virtual crisis care program to provide personalized, recovery-oriented care for behavioral health crises. The Virtual Practice Operations Associate will support clinic operations, manage patient access, and coordinate engagement while working remotely Monday–Friday with EST hours.

The role requires at least 2 years in operations, familiarity with digital clinic tools, and strong organizational and communication skills.

Qualifications

• At least 2 years of operations experience in healthcare or startup settings.
• Familiarity with digital clinic tools (EMR, telehealth, digital intake forms).
• Experience with patient/customer interactions in a service role.
• Strong organizational skills and attention to detail.
• Ability to follow standard patient onboarding processes including insurance checks.

Responsibilities

• Manage patient access operations including processing appointments, calls, voicemails, and inquiries.
• Coordinate outreach and engagement across multiple tracking systems.
• Update provider schedules and manage electronic health record documentation.
• Facilitate cross-team communication and escalate issues as needed.
• Process insurance eligibility checks, co-pays, and explain billing responsibilities.
• Audit reports and patient charts for data integrity and compliance.
• Analyze operational data and identify workflow improvements.
