Job summary

UC Santa Cruz is seeking a part-time Academic HR Specialist to manage student employment and payroll functions within the Arts Division. The role supports onboarding, pay actions, and time reporting while ensuring compliance with university policies.

The position is 75% time (30 hours/week) with a fully remote option and full benefits. Collaboration with divisional HR and department staff is essential for accurate, timely processing and data integrity.

Qualifications

• Bachelor's degree in related area or equivalent experience.
• Experience in payroll and/or personnel processing and related administrative skills.
• Strong organizational skills with attention to detail and accuracy.
• Ability to analyze policies and regulations and apply them.
• Proficiency with Google suite, spreadsheets, and databases.
• Excellent written communication and proofreading skills.
• Ability to manage multiple projects under deadlines.

Responsibilities

• Oversee all aspects of employment for Teaching Assistants, Reader/Tutors, Graduate Student Instructors, and Graduate Student Researchers: generate letters of employment; monitor and maintain communications pertaining to student employment; coordinate with PIs, graduate staff, and budget accountants to obtain authorizations; ensure compliance with contracts, policies, and procedures.
• Oversee the continuation of employment (COE) process for students: initiate, monitor, and maintain communications; update COE data accurately.
• Time and Attendance: oversee time reporting for eligible student employees; audit time sheets; apply policies; produce and audit time reports.
• Special Projects/General Support: participate in trainings; maintain payroll pages and workflow documents; update lists and files; assist supervisor with special projects.
