Job Summary

The Registration Coordinator is responsible for guiding patients through a scheduled process that includes greeting, insurance verification, paperwork completion, and addressing patient questions. The role aims to ensure a pleasant check-in/out experience. Additional duties may be assigned based on organizational needs.

Essential Job Duties
  • Warmly welcome patients and visitors upon entrance.
  • Answer and direct multiple phone lines; check voicemails regularly.
  • Process payments accurately via credit card or cash; balance cash drawer daily.
  • Schedule, reschedule, and confirm appointments.
  • Verify insurances using multiple websites.
  • Assist with check-out processes, including follow-up appointments and paperwork distribution.
  • Manage assigned tasks efficiently.
  • Collaborate with team members to complete tasks.
  • Verify and update patient demographics and paperwork before appointments.
  • Keep patients on schedule and communicate delays to the back-office.
  • Assist distressed or ill patients as needed.
  • Troubleshoot patient requests and problems.
  • Maintain a neat reception and waiting area.
  • Communicate effectively with patients, providers, staff, and administration.
  • Perform other duties as assigned.
Minimum Education and Experience
  • High school diploma or equivalent (GED).
  • Completion of a medical front office program or related on-the-job training emphasizing customer service.
Knowledge and Skills
  • Bilingual in Spanish preferred.
  • Effective communication skills in person and over the phone.
  • Tact, initiative, and good judgment.
  • Basic office skills: typing, call transfer, faxing, etc.
  • Organizational and problem-solving abilities.
  • Proficiency in computer use and EMR systems.
  • Ability to accept supervision and feedback.

Travel required: 10% within the Temecula, CA area from Hemet, CA to Fallbrook, CA. Training will occur over two weeks across multiple sites.
