Job summary

Jobtailor is seeking a Director of the Registrar's Office in Tempe, AZ. The role leads all Registrar operations, ensures FERPA and regulatory compliance, and drives data-informed decisions across student records and reporting systems.

You will oversee course scheduling, degree audits, and transcript processing, while coordinating with faculty, IT, and Admissions to support academic services and policy implementation.

Qualifications

  • Bachelor's degree required in a related field.
  • Minimum five years experience in a Registrar role or higher education.
  • Minimum five years of leadership and team management experience.
  • Strong knowledge of FERPA, Title IV, accreditation standards, and higher education regulations.
  • Experience with state authorization and NC-SARA for multi-state online enrollment.
  • Experience with student information systems and analytics tools (Anthology, Power BI).
  • Strong understanding of registration, grading, degree audits, transcript processing, and student records.
  • Authorized to work in the U.S.; visa sponsorship is unavailable.

Responsibilities

  • Lead and manage all aspects of the Office of the Registrar.
  • Assist students, staff, and faculty with academic services.
  • Maintain the integrity, confidentiality, security, and compliance of student and academic records.
  • Optimize daily Registrar’s Office operations and oversee academic-record maintenance.
  • Monitor attendance reconciliation, grade posting, SAP, registration, degree audits, and student-status changes in the SIS.
  • Collect and analyze reports to support decision-making and develop or modify policies and procedures.
  • Develop and document standard operating procedures and system processes.
  • Coordinate updates and implementation of new academic programs in the SIS, including UAT.
  • Ensure student notifications and staff training for policy changes.
  • Establish educational partnerships and articulation agreements with transfer institutions.
  • Establish staffing levels aligned with SLAs, departmental goals, and budgets.
  • Coordinate section building, course scheduling, and load balancing with Faculty Services.
  • Determine graduation eligibility and monitor honor-society eligibility.
  • Monitor degree and certificate conferrals; oversee transcripts and graduation packages.
  • Oversee enrollment and degree verifications, loan deferment certifications, and employment verification letters.
  • Manage external reporting (e.g., ED Enrollment Reporting).
  • Oversee academic grade appeals and grievance processes.
  • Maintain academic-record retention and business-continuity plans with IT.
  • Participate in leadership meetings and prepare departmental budgets.
  • Collaborate with leadership and manage relationships with external vendors.
  • Participate in professional development and team training opportunities.
  • Perform other duties as assigned.

  • Interpret and enforce academic policies and procedures based on program requirements
  • Coordinate student information system updates, modifications, and implementation of new academic programs, including user acceptance testing
  • Ensure student notifications and staff/management training for policy changes
  • Establish educational partnerships and articulation agreements with transfer institutions
  • Establish staffing levels aligned with service-level agreements, departmental goals, and budget guidelines
  • Coordinate section building, course scheduling, and load balancing with Faculty Services
  • Determine graduation eligibility and monitor honor-society eligibility
  • Monitor degree and certificate conferrals
  • Oversee distribution of graduation packages and official transcripts
  • Oversee enrollment and degree verifications, loan deferment certifications, and employment verification letters

Requirements
  • Bachelor’s degree required
  • Minimum five years experience in a Registrar role or related profession within higher education, ideally in a proprietary institution(s)
  • Minimum five years of experience leading and managing successful teams
  • Strong knowledge of FERPA, Title IV, accreditation standards, and federal/state higher education regulations, including DEAC requirements and student achievement, SAP, and academic catalog disclosures
  • Working knowledge of state authorization requirements and NC-SARA for multi‑state online enrollment
  • Experience with student information systems and reporting/analytics tools, preferably Anthology and Power BI, with the ability to use data to support informed decision‑making
  • Strong understanding of registration, grading, degree audits, transcript processing, and student record management
  • Exceptional attention to accuracy and confidentiality
  • Proven ability to lead, develop, and motivate teams, delegate responsibilities, prioritize competing demands, meet deadlines, and drive process improvements
  • Excellent communication, analytical, problem‑solving, and cross‑functional collaboration skills
  • Ability to explain policies and procedures and work effectively with faculty, IT, Admissions, and other institutional stakeholders
