Job summary

James River Equipment Virginia LLC in Manassas, VA is seeking a Regional PM Coordinator to manage dispatching and scheduling for preventative maintenance across the region. You will coordinate service jobs, input from technicians and parts, and provide cost estimates to customers.

Daily duties include communicating timelines, guiding technicians, approving reports, reviewing invoices, and ensuring smooth project flow while maintaining exceptional customer service.

Qualifications

• 2+ years of dispatcher or service advisor experience with strong customer service.

• Proficient in scheduling and communicating with customers.

Responsibilities

• Schedule, dispatch, and manage service jobs for preventative maintenance regionally.
• Prepare cost estimates and review pricing with customers; arrange payment plans as needed.
• Communicate start times, completion dates, and changes to customers.
• Assign estimated repair times, approve technician reports, and conduct final inspections.
• Review invoices with customers and answer questions prior to closing.

This position is day shift, Monday-Friday.

As a Regional PM Coordinator, your more typical responsibilities will include:

• Scheduling, dispatchingand managingservice jobs for our preventative maintenanceteam per work orders and guidelines on a regional basis
• Complete customer service work authorizations with input from technicians, foreman/manager and parts department and identify all maintenance needs with mobile lube/preventative maintenance technicians
• Provide cost estimates to customers, ensure customers have sufficient credit for the work authorized, explain pricing options and set up payment plans when needed
• Communicate estimated job start time and completion date, update the customer of changes or additional concerns as they arise, and make additional service work recommendations that align with technician’s findings during maintenance
• Assign SPGs or estimated repair times to work order, approve technician’s service report and perform final inspections
• Review invoice with customer prior to closing work order, answer customer questions and invoice the customer

Must Have:

• 2 or more years of experience as a dispatcher and/or service advisor with exceptional customer service strongly preferred with demonstrated proficiency in role, processes, and scheduling
• Experience as a mobile lube technician or preventative maintenance technician is preferred
• Excellent communication skills with attention to detail and consistent follow up
• Daily computer usage in scheduling/dispatch and work order systems, with experience in CDK at plus
• Ability to work as liaison between technicians and customers while handling high volume of customer inquiries in person and by phone
• Lifting up to 50 pounds and the ability to conduct equipment inspections on occasion
