Blue Castle Agency is seeking a Regional Ops Coordinator (Portfolio Associate) in Madison, WI, to support a growing 1,200-unit multifamily portfolio across several properties. This role covers on-site gaps, analyzes rent rolls, and coordinates vendor contracts to ensure smooth operations across the entire portfolio.

You will work with on-site teams, review pricing trends, and build CMA reports to inform pricing decisions.

Qualifications

• 3-5 years of property management or operations experience in multifamily real estate.
• Comfort working across multiple properties and jumping in wherever needed.
• Strong analytical skills, especially working with rent rolls, pricing trends and market data.
• Experience with vendor management and contract review.
• Familiarity with property management software like Yardi, Entrata, or RealPage.

Responsibilities

• Step in across the portfolio to cover on-site operational gaps as needed, from leasing coverage to general property support.
• Review and manage vendor contracts across multiple properties.
• Source, schedule, and coordinate vendors for maintenance and service needs.
• Analyze rent roll, concessions, and pricing trends across the portfolio.
• Shop competitors and build CMA reports to support pricing decisions.
• Serve as a flexible, cross-property resource — a true utility player who can jump in wherever a property needs help.
• Partner with on-site teams to troubleshoot operational issues and keep communities running smoothly.
• Help keep reporting and processes consistent across the portfolio’s properties.
• Support special projects and process improvements as the portfolio grows.

OVERVIEW

A growing Class A multifamily portfolio in the Madison market (about 1,200 units across several properties) is looking for a Regional Ops Coordinator. This is a portfolio-level role, not a single-property one — you’ll bounce between communities covering on-site gaps, digging into pricing and vendor data, and generally making sure operations run smoothly across the whole portfolio.

WHAT YOU’LL DO
