Job summary

UPMC Hillman Cancer Center in western Pennsylvania is seeking a dynamic Regional Office Manager to oversee the administrative operations of our network of medical oncology offices. This full-time, on-site role supports Monroeville, West Mif flin, McKeesport, Mercy, Uniontown, and Western Maryland offices and requires regular travel.

In this role you will manage scheduling, templates, supplies, equipment maintenance, and staff training to ensure smooth operations and exceptional patient care

Responsibilities

  • Order all supplies and services as needed for this practice, including coordination of clinical area supplies and equipment maintenance.
  • Provide and coordinate maintenance on all equipment used by the clinical staff of the department.
  • Anticipate scheduling issues when staff are not scheduled.
  • Review patient schedules routinely to troubleshoot overbooked clinics and staffing in department areas.
  • Ensure the clinical environment is patient-friendly and conducive to staff and physician productivity.
  • Apply administrative, Cancer Center, and departmental policies to protect patients, staff and department.
  • Coordinate and staff laser templates, ensuring proper patient scheduling.
  • Maintain correspondence with the Practice Manager concerning personnel, supplies, and patient issues.
  • Develop and maintain a patient-centric culture aligned with consumerism initiatives and patient access.
  • Monitor and meet practice benchmarks for scheduling and patient access; provide back-up coverage as needed for vacancies and volume changes.
  • Cover all regional positions on-site or remotely as needed (Office Assistant, Scheduling Coordinator, Financial Counselor/Coordinator, Office Coordinator).
  • Support Regional Manager and Practice Manager with staff training, process updates, systems changes, and compliance as a systems super user (ARIA, Epic, Nuance, ProFee).

UPMC Hillman Cancer Center is seeking a dynamic and experienced Regional Office Manager to oversee the administrative operations of our network of medical oncology offices. As a pivotal member of our team, you will play a crucial role in ensuring the smooth functioning of our offices, enabling us to deliver exceptional oncology care to our patients.

This position will support our Monroeville, West Mifflin, McKeesport, Mercy, Uniontown, and Western Maryland offices. It is a full-time, Monday through Friday, daylight role. This position is on-site and travel to these offices will be required.

In this role, you will manage the timely and organized operation of the general services of the Center including scheduling, coordinating templates, coordinating all operational tasks, and assisting the director of the Center daily. You will need the ability to order all supplies utilized in the clinical area and coordinate the maintenance of the equipment.

  • Anticipate scheduling issues when members of the staff are not scheduled.
  • Review patient schedules routinely to troubleshoot for overbooked clinics, as well as staffing in respective areas of the department.
  • Ensure that the clinical environment is patient friendly, appropriate for staff and physicians to work and be productive by working closely with the staff and physicians responding to issues and problem-solving.
  • Be cognizant of and apply relative administrative, Cancer Center, and departmental policies and procedures for the protection of the patients, staff and department.
  • Coordinate and staff laser templates, ensuring that patients are properly scheduled.
  • Maintain correspondence with the Practice Manager concerning personnel, human resource, supplies, and patient issues.
  • Develop and maintain a patient-centric culture, centered around patient arrival and follow up activities in line with the consumerism initiatives, if applicable.
  • Monitor and meet practice specific benchmarks inclusive of point of service and scheduling (inclusive of template management for timely patient access), if applicable.
  • Cover all positions in the region on site or remotely as needed with increases in volume, support needed due to vacancies, consistent backup for auth related volumes, etc. 1. Office Assistant2. Scheduling Coordinator3. Financial Counselor/Coordinator4. Office Coordinator
  • Act as a support to the Regional Manager and Practice Manager in all locations: Assist with training new & existing staff (achieve standardization across centers). Introduce/train process changes, systems updates, etc. Support manual updates as super user & also train/audit user/site compliance. Systems super user (ARIA, Epic, Nuance, ProFee, etc.).
