Job summary

IDEA is seeking an Events Coordinator in Detroit to plan, coordinate, and execute regional fundraising and other events, serving as the operational lead from planning through on-site execution and closeout. You will work with regional staff, volunteers, vendors, sponsors, and community partners to deliver high-quality, cost-effective events that advance IDEA’s mission and Fund Development goals.

Qualifications

• Bachelor’s degree required.
• Experience in event planning, fundraising, community engagement, hospitality, or related field.
• Strong organizational, project-management, time-management, and multitasking skills.
• Experience managing event budgets and coordinating vendors, contracts, speakers, volunteers, and logistics.

Responsibilities

• Plan, coordinate, and execute regional fundraising and other events in alignment with national strategy and regional priorities.
• Coordinate with the Assistant Director of National Events to support quality assurance and adherence to event standards.
• Develop event plans, timelines, budgets, programs, and supporting materials.
• Research, secure, and coordinate venues, vendors, catering, transportation, lodging, and other services within budgets.
• Negotiate contracts with venues, hotels, sponsors, and other stakeholders as needed.
• Coordinate speakers, sponsors, host committees, volunteers, and internal teams throughout the event-planning process.
• Oversee on-site event operations, including setup, registration, guest experience, and program flow.
• Coordinate event promotion and communications with regional staff and departments, including social media content and attendee communications.
• Support regional team with annual and quarterly event planning, calendars, outreach, and campaigns.
• Represent IDEA at community events, masjid tablings, and fundraising activities.
• Build relationships with community members, venues, vendors, sponsors, and partners.
• Coordinate with Volunteer Management to secure and prep volunteers.
• Maintain accurate event information in Salesforce, ClickUp, campaign trackers, and calendars.
• Complete post-event follow-up, reporting, surveys, debriefs, and financial documentation.
