Job description

The Regional Dispatch Manager oversees dispatch operations for an assigned region, ensuring timely, efficient, and cost‑effective fuel deliveries. This role is critical in driving operational excellence through meticulous planning, leadership, and adherence to company standards. This includes achieving and promoting TTE’s GOAL ZERO initiative, including but not limited to zero outages, late deliveries, and second requests for information. The manager ensures that key performance indicators (KPIs) are consistently met or exceeded and is responsible for efficient staffing and coverage, eliminating unnecessary costs while maintaining exceptional service levels.

Key Responsibilities:
Operational Management
  • Ensure all dispatch KPIs, including on‑time deliveries, customer communication, and scheduling accuracy, are consistently met or exceeded.
  • Promote and enforce TTE’s GOAL ZERO initiative, which aims for zero outages, late deliveries, second requests for information, and other service interruptions.
  • Develop and implement strategies to streamline dispatch processes and improve operational efficiency.
  • Monitor and analyze dispatch performance data to identify trends and implement corrective actions as necessary.
Dispatcher Scheduling and Coverage
  • Develop and maintain effective dispatcher schedules to optimize coverage while controlling costs.
  • Eliminate unnecessary extra day pay through efficient scheduling and staff resource management.
  • Take responsibility for covering open shifts personally when alternate dispatcher coverage is unavailable.
  • Proactively manage workload distribution to ensure seamless operations during peak periods or staffing shortages.
Leadership and Team Development
  • Supervise, train, and mentor dispatchers to maintain high-performance standards and adherence to company policies.
  • Conduct regular performance reviews and provide actionable feedback to team members.
  • Foster a culture of accountability, teamwork, and continuous improvement within the dispatch team.
Customer and Stakeholder Collaboration
  • Act as the regional point of contact for customers, ensuring delivery schedules and service expectations are consistently met.
  • Communicate effectively with customers to address concerns, resolve issues, and maintain strong relationships.
  • Partner with drivers, operations, and maintenance teams to ensure fleet availability and timely deliveries.
Administrative Responsibilities
  • Maintain accurate and up-to-date records of dispatch activities, including schedules, performance metrics, and compliance documentation.
  • Prepare regular reports for regional and corporate leadership on dispatch operations, performance, and improvement initiatives.
  • Ensure compliance with all DOT regulations, HOS requirements, and company safety standards.
Skills and Qualifications:
  • Bachelor’s degree in business administration, Operations Management, or a related field, or five years of prior management experience in transportation operational roles or an equivalent combination of education and experience.
  • Thorough understanding of transportation operations, including logistics, scheduling, safety regulations, and customer service principles.
  • Strong leadership and management skills, with the ability to motivate and inspire teams to achieve goals. Effective communication and interpersonal skills are essential.
  • Knowledge of tractor trucks and trailers.
  • Familiarity with relevant regulations, codes, and safety standards.
  • Budgeting and financial management skills.
  • Excellent problem-solving skills, with the ability to identify issues, analyze data, and implement effective solutions.
  • Working knowledge of DOT information, programs, policies, and procedures preferred.
  • Good organizational skills and attention to detail.
  • Ability to adapt to changing circumstances and priorities in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite or similar software.
Physical Requirements:
  • Work is performed while sitting at a desk and working on a computer for prolonged periods of time.
  • Requires the ability to communicate effectively using speech, vision, and hearing.
  • Requires the use of hands for simple grasping and fine manipulation.
  • Must be able to lift at least 40 pounds at a time.
  • Normal office environment and maintenance shop environment.
  • Requires standing, sitting, walking, kneeling, twisting, climbing stairs and ladders, and entering shop floor equipment to access, inspect, or oversee shop work.
  • Occasionally, it requires wearing personal protective safety equipment (safety glasses, hard hat, appropriate footwear, ear plugs, gloves, etc.).
  • May be required to work around rotating and energized equipment, hazardous materials, and chemicals.
  • May require travel within and beyond typical service areas.
