Job summary

Spherion WI & Northern IL in Madison is seeking a Recruiting Coordinator to support our recruiting team and keep the office running smoothly. You’ll assist with candidate onboarding, payroll, job postings, and communications while ensuring an organized, professional candidate experience.

This full-time, hybrid role offers office-based collaboration with occasional remote work and a strong emphasis on client and candidate service.

Qualifications

• Bachelor’s degree preferred; equivalent experience may be considered.
• Experience in recruiting, human resources, customer service, administrative support, hospitality, or related field is a plus.
• Strong communication skills and comfort speaking with candidates by phone, email, and text.
• Highly organized with the ability to manage multiple priorities and maintain strong follow-through.
• Comfort using technology and learning new systems.
• Positive attitude with a willingness to jump in and help wherever needed.
• Professional, dependable, and service-oriented.
• Authorization to work in the United States without sponsorship.

Responsibilities

• Serve as the first point of contact for candidates, employees, clients, and visitors, creating a welcoming and professional experience
• Manage incoming phone calls and connect candidates, employees, and clients with the appropriate team members
• Assist candidates through the application, interview, onboarding, and hiring process
• Coordinate background checks, start details, and other pre-employment activities
• Create, update, and manage job postings while supporting other candidate attraction efforts, including referrals, outreach, and community-based recruiting
• Maintain accurate candidate and employee records within our systems
• Assist with processing weekly payroll accurately and on time
• Help organize employee appreciation activities, office events, and other team initiatives
• Assist with ordering office supplies, stocking break room and office materials, and coordinating office needs
• Provide general administrative support to the recruiting and leadership teams
• Deliver exceptional service to candidates, employees, clients, and coworkers
• Uphold organizational values in all communication and activity
