Job summary

OpenAI is seeking a Recruiting Coordinator to join our team in San Francisco. You will own scheduling end-to-end for evergreen and opportunistic openings, coordinating with recruiters, sourcers, interviewers and hiring managers to ensure a smooth candidate experience.

You will greet candidates onsite, plan interviews, manage travel and reimbursements, and support the Robots division with scalable recruiting operations. This role is hourly, non-exempt, with a 40-hour week and potential overtime.

Qualifications

• 5+ years of recruiting coordination experience, including scaling processes.
• Proficient with Google Calendar, Guide, Ashby, Slack and Notion.
• Strong communication and stakeholder management, including senior-level candidates.
• Highly organized with ability to prioritize and adapt to changing demands.
• Detail-oriented, proactive and discreet when handling sensitive information.
• Collaborative mindset with continuous process improvement.
• Ability to handle confidential information with discretion.

Responsibilities

• Own scheduling end-to-end for evergreen and opportunistic hiring.
• Partner with recruiting ops to solve problems using data and tools.
• Greet candidates onsite to provide a welcoming interview experience.
• Plan interviews for recruiters and hiring managers across teams.
• Use Ashby, Guide, G-Suite and other tools to maintain a timely hiring process.
• Communicate clearly and professionally with candidates and partners.
• Manage candidate reimbursement and travel logistics.
• Support executive-level candidate management with the Executive Operations team.
