Job summary

Hex is seeking a Recruiting Coordinator to deliver an exceptional candidate experience and to build the operational foundation that enables fast, quality hiring. You will partner with recruiters, hiring managers, and leaders across the company to coordinate interviews, manage candidate communication, and keep our hiring processes moving.

Qualifications

• 1–3+ years of work experience in recruiting coordination or similar role.
• Exceptional verbal and written communication.
• Strong sense of urgency and ability to move quickly without sacrificing quality.
• Comfortable working with senior leaders and managing changing schedules.
• Attention to detail with time zones, room bookings, and interviewer swaps.
• Ownership and self-direction in ambiguous, fast-moving environments.
• Genuine interest in hiring and creating a great candidate experience.
• Availability to work from our San Francisco office at least 3 days per week (Tue–Thu).

Responsibilities

• Own interview scheduling and coordination across multiple teams and interview loops.
• Partner with recruiters, hiring managers, and interviewers to keep processes moving quickly and efficiently.
• Create an exceptional, high-touch candidate experience from interview through offer.
• Manage onsite interview logistics and welcoming candidates visiting our SF office.
• Keep Ashby, ModernLoop, Notion docs, Juicebox and other recruiting systems accurate and up to date.
• Identify scheduling conflicts and bottlenecks, using data to improve processes.
• Help build recruiting processes, workflows, templates, and systems as hiring grows (using AI to automate tasks).
• Support onboarding, recruiting events, and other projects as needed.
