Job summary

Ultimate Staffing is seeking a Recruiting Coordinator in San Francisco, CA for a hybrid role. You will support talent acquisition efforts, build community connections, coordinate job fairs, and manage candidate communication. The position reports to the Talent Acquisition Manager and partners with senior recruiters.

Qualifications

Responsibilities

  • Research and contact community services, colleges, employment agencies, recruiters, media, and internet sites to share information, opportunities, and benefits.
  • Create and modify presentations as needed.
  • Develop, maintain and nurture our community connections.
  • Collaborate with cross-functional teams focusing on recruitment.
  • Serve as the main point of contact for the Talent Team's phone line, providing job seekers with information about employment opportunities.
  • Evaluate potential job fairs, manage registration and communications, invitations, and reminders.
  • Manage and maintain the supply inventory for job fairs and participate in events.
  • Promote our employer brand online and in-person at recruiting events.
  • Forward contact lists to designated recruiter and track event outcomes.
  • Vet candidates via resume screens and informational calls.
  • Craft and deliver professional recruiting emails to enhance candidate experience.
  • Build relationships with hiring managers to understand needs and expectations.
  • Coordinate, schedule, and follow up on interviews.
  • Develop templates for interview guides and communications.
  • Extend job offers and oversee the offer process.
  • Build sourcing pipelines using Boolean search and social networks.
  • Network and seek referrals from internal and external sources.
  • Conduct outreach to past applicants regarding new opportunities.
  • Collect, analyze, and report on talent metrics for full-cycle recruitment.

Job description

Work Schedule/ Location: Hybrid in San Francisco, CA (on site 2 days per week). Flexible work locations in Fremont and San Jose also available.

Hours: M-F 8:00 AM - 4:30 PM

Salary: $28 - $35/ hour DOE

The Recruiting Coordinator will report directly to Talent Acquisition Manager. The position will partner closely with the Talent Acquisition Sr. Recruiting Lead. The Recruiting Coordinator manages the first stage of our recruiting process. Responsibilities include using various channels to look for potential candidates, contacting passive candidates, and building talent pipelines for future hiring needs.

Responsibilities
COMMUNITY LIAISON FOR TALENT ACQUISITION
  • Research and contact community services, colleges (e.g., internship program), employment agencies, recruiters, media, and internet sites to share information, opportunities, and benefits.
  • Create and modify presentations as needed.
  • Develop, maintain and nurture our community connections.
  • Collaborate with cross-functional teams focusing on recruitment.
  • Serve as the main point of contact for the Talent Team's phone line, providing job seekers with information about employment opportunities.
JOB FAIR COORDINATION
  • Evaluate potential job fairs to ensure alignment with companies objectives.
  • Manage registration and all communications pertaining to the events.
  • Send invitations and reminders to internal partners participating in the fairs.
  • Manage and maintain the supply inventory for job fairs including tabling equipment and giveaways.
  • Participate in most scheduled career events and host/support other in-house recruitment events.
  • Promote our employer brand (e.g., mission, vision, culture, and core values) online and in-person at recruiting events.
  • Forward contact lists to designated recruiter and work with them to understand and track the success of each event attended.
RECRUITING ACTIVITIES
  • Vet candidates by conducting resume screens, informational calls, and phone screens.
  • Craft and deliver professional and customer-focused recruiting emails in a timely manner to enhance the candidate/hiring manager experience.
  • Build trusting relationships with hiring managers to understand their hiring needs and expectations.
  • Coordinate, schedule, and follow up on interviews with candidates and hiring managers.
  • Develop professional recruiting templates such as interview guides, emails, and other communications.
  • Extend job offers and oversee the offer acceptance process
DEVELOP & COORDINATE BUILDOUT OF SOURCING PIPELINES
  • Identify qualified candidate profiles using various sourcing techniques (e.g. Boolean search).
  • Seek out and screen potential candidates on social media and professional networks (e.g., LinkedIn, Indeed, Zip Recruiter).
  • Network and seek referrals from internal and external sources.
  • Conduct outreach, re-engage, and communicate with past applicants regarding new job opportunities.
TRACK & MANAGE SOURCER ACTIVITY DATA
  • Assist with recruitment processes and maintain candidate database(s) (e.g., Applicant Tracking Systems).
  • Collect, analyze, and report on key Talent metrics for full-cycle recruitment (e.g., time-to-fill, candidate sources, conversion rates including # of passive candidates who turn into applicants).
  • Participate and support other Talent activities as needed.
Requirements
  • 2-3 years of experience in Human Resources or Talent Acquisition
  • Bilingual in Spanish, Cantonese, or Mandarin required
