Job summary

TEEMA Solutions Group is seeking a Talent Acquisition Coordinator to support our Talent Management team with full-cycle recruiting and onboarding operations in San Francisco. Are you an organized, collaborative Human Resources professional who thrives in a fast-paced environment? We are seeking an engaging Talent Acquisition Coordinator to support our Talent Management team with full-cycle recruiting and onboarding operations! In this key role, you will work under the direction of the Talent Acquisition Manager and partner directly with Talent Acquisition Specialists, Recruiters, and hiring managers. You will manage the new hire experience from offer acceptance through initial onboarding and New Hire Orientation (NHO). Additionally, you will oversee Applicant Tracking System (ATS) operations, process requisition workflows, track recruiting expenses, and facilitate manager hiring trainings. Duties & Responsibilities
Candidate Onboarding & Orientation

Serve as the primary liaison to new hires following offer acceptance, ensuring consistent and complete pre-onboarding communication.

Ensure all hiring forms and onboarding requirements are fully completed prior to the new team member's first day.

Facilitate New Hire Orientation (NHO), including coordinating all logistics to prepare and finalize the orientation program.

Manage e-filing systems and oversee the creation of compliant electronic employee files.

Cross-train regularly on basic HR partner responsibilities to support clients as needed, including managing Day 1 Onboarding workflows (e.g., completing the Form I-9 process and collecting required paperwork).

Own newly opened or aged requisitions from inception through closure.

Conduct requisition intake reviews for accuracy, manage timely approvals, consult with hiring managers, and coordinate with recruiters for job board postings.

Serve as the primary point of contact to recruiters and participate in weekly recruiting calls to review search status, interview progress, and filled roles.

Review and process Offer Authorization Request forms through required HR approval steps.

Conduct compensation research, recommend rates as needed, track declined offers due to pay, and share data anomalies with the Compensation and Recruiting teams.

Ensure all candidate applications are properly dispositioned and filled requisitions are closed in a timely manner.

Manage and maintain the Applicant Tracking System (ATS)—ensuring data accuracy, cleanliness, and timely website postings, while recommending process enhancements.

Perform accurate data entry into the Human Resources Information System (HRIS).

Facilitate training sessions for hiring managers, recruiters, and interview panels to ensure consistent, legal, and fair applicant evaluation processes.

Review and code monthly vendor invoices and maintain the central Recruiting expense tracker.

Maintain regular communication with key internal and external stakeholders regarding search progress and priorities.

Help plan, execute, and participate in community recruiting events.

Document and maintain Talent Acquisition policies and procedures to ensure compliance with applicable employment laws and regulations.

Participate in special HR projects and initiatives as assigned.

Other duties as assigned.

Required Qualifications
Education & Experience

Education: High School Diploma or GED equivalent.

Work Experience: Minimum of two (2) or more years of related Human Resources and/or office administration experience.

Key Skills & Abilities

Language Skills: Proficiency in English paired with bilingual fluency (verbal and written) in either Chinese or Spanish.

Software Proficiency: Proficient computer skills, including Microsoft Word and Excel; experience maintaining data accurately in an HRIS and Applicant Tracking System (ATS).

Organizational & Prioritization Skills: Exceptionally good organization, strong attention to detail, and proven prioritization abilities to manage multi-task demands in a fast-paced setting.

Communication & Interpersonal Skills: Excellent written, verbal, and phone communication skills with stellar customer service capabilities for every internal and external partner.

Problem‑Solving & Discretion: Strong administrative problem‑solving skills, critical thinking, initiative, and the ability to handle confidential details and ambiguity.

Event Logistics & Teamwork: Experience in event/meeting planning, participation, and facilitation, with a strong comfort level working within a collaborative team.

Desired Qualifications

Experience with recruiting expense tracking, invoice processing, or HR compliance documentation.

Prior experience delivering or supporting manager‑level HR training modules.

Location and Work Type

Work Type: Full-Time, Non‑Exempt Position (40 hours per week).

Schedule: Monday through Friday, 8:00 AM – 4:30 PM.

Physical & Travel Requirements: Occasional local travel within the SF Bay Area (up to 25 lbs. lifting capability required for recruiting event setup).
