Position Summary

We are seeking a Part-Time Recruiting & Administrative Coordinator to support our growing team in sourcing talent and managing client communications. This remote role offers hands-on experience in recruiting across multiple industries while providing essential administrative support to our senior team. You will work directly with the CEO and support other senior roles within our boutique staffing and consulting environment.

This role is not open to C2C or C2H arrangements.

Key Functions/Responsibilities

  • Source and identify potential candidates using LinkedIn and other professional platforms
  • Build candidate pipelines for project managers, technical roles, and other positions across healthcare, AI, retail, wholesale, and insurance industries
  • Conduct initial candidate outreach and relationship building through various communication channels
  • Progress to candidate screening and qualification with training and ongoing support from leadership
  • Maintain accurate candidate records in our ATS platform and ensure data integrity
  • Support reference checking processes and tracking candidate progress through hiring stages
  • Research and identify new sourcing strategies and platforms to expand candidate reach

Administrative Support (30%)

  • Handle candidate communications and general business inquiries independently with CEO support as needed
  • Manage client correspondence, scheduling, and coordination activities
  • Support other senior team members with various administrative tasks and project coordination
  • Maintain organized communication workflows and documentation standards
  • Assist with basic client relationship management and follow-up activities

Process Improvement and Learning

  • Participate in training programs to develop recruiting and screening capabilities
  • Contribute to process improvements and efficiency initiatives
  • Learn and adapt to new tools and platforms as business needs evolve
  • Maintain knowledge of industry trends and best practices in recruiting

Required Experience and Qualifications

  • Some experience in recruiting, sourcing, talent acquisition, or related field
  • Strong written and verbal communication skills with professional demeanor
  • Proficiency with LinkedIn for professional networking and candidate sourcing
  • Basic experience with CRM systems (HubSpot experience helpful but not required)
  • Comfort with standard office software and learning new technology platforms
  • Self-directed work style suitable for remote work environment
  • Strong organizational skills and attention to detail
  • Interest in learning and growing within the recruiting and staffing industry

Preferred Qualifications

  • Previous experience in staffing, recruiting, or talent acquisition
  • Familiarity with applicant tracking systems (ATS)
  • Experience working in a consulting or professional services environment
  • Understanding of various industries including healthcare, technology, retail, or insurance
  • Customer service or client-facing experience
