Administrative & Events Coordinator (FT - On-Site)

Foster City, CA

Exact compensation may vary based on skills, experience, and location.

We only consider candidates living locally or within the State of CA. We do not pay any relocation expenses.

JOB SUMMARY

In this role, you will provide comprehensive administrative support to high-level managers and the Engineering department, including coordinating deliverables, facilitating operations, and assisting branch offices. Responsibilities include managing documents, planning events, handling office logistics, and supporting the Marketing department as needed.

RESPONSIBILITIES

  • Administrative Assistant functions for high level managers.
  • Serve on various internal project teams and committees.
  • Facilitate operations of the Engineering department.
  • Assist in coordination of deliverables for Engineering department.
  • Assist in general administration for branch offices.
  • Scanning and printing of various file types, including documents and blueprints.
  • Plan and attend company sponsored social events.
  • Plan and coordinate company presence at industry related events.
  • Phone line coverage, mail, ordering supplies, scheduling conference room meetings, ordering lunch for meetings.
  • Provide as needed support for Marketing department.
  • Other general administrative duties as required.

QUALIFICATIONS

  • 2+ years of experience as an administrative assistant is preferred.
  • Excellent verbal and written communication skills.
  • Experience with Word, Excel, Outlook.
  • Ability to multitask in a fast-paced environment.
  • Good attendance is a must.
  • Possession and maintenance of a valid Class “C” California driver’s license with a satisfactory driving record is required.

WORKING CONDITIONS

  • General office environment.
  • Ability to work independently or in a team environment.
  • Occasional overtime work is required throughout the year.
  • Regularly requires working in sitting position at workstation for extended periods.
  • Occasionally may require lifting up to 20 pounds.
  • Capacity to work in a fast-paced environment with deadlines and multiple projects.
  • Must be able to travel to client sites and/or job sites.

Salary Range

$29 - $35 USD
