Job summary

The Records Analyst I at Denton County educates and consults departments on records management, ensuring compliance with Texas laws and county policies. You’ll operate the Records Center, fulfill storage, retrieval, and destruction requests, and provide excellent customer service.

You will assist with imaging, scanning, and digital conversion, monitor retention schedules, and participate in audits and special projects to improve efficiency and compliance.

Qualifications

  • High School Diploma or GED with four years of related experience or equivalent combination.
  • Bachelor's degree preferred in Records Management or related fields.
  • Certification in Records Information Management or related field preferred.
  • U.S. citizenship required. Must pass background checks.

Job description

The Records Analyst I works under moderate supervision to guide, assist, and support Denton County departments by educating and consulting with employees on records management requirements and best practices to ensure all Denton County records are created, maintained, managed, protected, and disposed of in compliance with Texas State laws and rules and Denton County polices.


The Records Analyst I operates the Denton County Records Center securely and efficiently and follows department procedures to promptly fulfill routine service requests for storage, retrieval, and destruction services.


The Records Analyst I is required to provide excellent customer service, resolve problems in a timely manner, communicate effectively, and be a positive contributor to their County Department.


Utilizes specialized records management knowledge to advise, collaborate, and consult with Denton County employees about their department’s records and records management practices and provides guidance and recommendations to improve efficiency and ensure compliance with State laws and rules and Denton County policies.


Explains complex records management concepts and compliance requirements to Denton County employees and assists employees in complying with these requirements.


Monitors the storage and disposition of records according to approved retention schedules to ensure compliance with all applicable Federal, State and Local regulations.


Assists with special projects (audits, data ingests, data cleanup, etc.).


Operates and manages the physical records management system, digital records repository, and equipment for the preservation and storage of records.


Prepares documents for imaging, operates electronic scanning equipment, and converts scanned material to digital format.


Evaluates image quality and suitability of digital documents and microfilm in accordance with applicable standards and regulations.


Conducts inventories and performs analysis to determine departmental recordkeeping requirements for physical and digital records in accordance with the Denton County Records Management Program Resolution.


Assists with the development of records control schedules based on departmental recordkeeping requirements and in compliance with all applicable Federal, State and Local regulations.


Maintains the Records Center to ensure the proper care and storage of local government records of permanent value in accordance with industry standards and Texas Local Government Code.


Safely and securely transports boxes of paper records between Denton County office locations and the Denton County Records Center, which is a climate-controlled warehouse environment. This task requires operation of the Records Management departmental vehicle and task-appropriate equipment such as a manual pallet jack, utility cart, or hand-truck/dolly.


Coordinates the conversion of digital images to microfilm and the maintenance of microfilm libraries and inventory.


Examines and evaluates records-management systems to improve existing methods for efficient handling, protection, and disposition of records and information.


Ensures security and/or confidentiality of records in accordance with the Denton County Records Management Program Resolution.


Assists with the implementation of instructor led and online records and information management training courses for county departments and staff.


Conductscomplex records inventories and analysis to determine retention, sealing or destruction requirements.


Regular and punctual attendance is required.


Performs other related duties as required.


High School Diploma or GED and a minimum four years of experience in a related field; or an equivalent combination of education and related experience required.


Bachelor's degree in Records Management, Library and Information Sciences Public Administration, Business Administration, or a directly related field preferred. Certified Records Information Manager (RIM), Certified Records Manager (CRM), and/or Local Government Archives and Records Administration (LGARA) Certificate preferred.


Must be a U.S. citizen.


Must not have any Class B misdemeanor or higher convictions or deferred adjudications.


Possession of a valid driver's license.


Must be able to obtain a State of Texas driver's license within 90 days of employment.
