Job Title: Front Desk Receptionist & Purchasing Assistant

Position Overview:

We are seeking a highly organized and personable Front Desk Receptionist & Purchasing Assistant to be the first point of contact for our landscaping company. This hybrid role combines front desk responsibilities with support in purchasing materials, equipment, and supplies essential to our field operations. The ideal candidate is detail-oriented, professional, and able to manage multiple administrative tasks while maintaining excellent communication with both internal staff and external vendors.

Key Responsibilities:

Front Desk & Administrative Duties

  • Greet and assist visitors, clients, and vendors in a friendly and professional manner
  • Answer and direct incoming phone calls and emails
  • Maintain a clean and organized front desk and common areas
  • Receive, sort, and distribute mail and packages
  • Schedule meetings and maintain calendars for office staff
  • Assist with administrative support tasks such as filing, scanning, and data entry

Purchasing Support

  • Place orders for landscaping materials, tools, equipment, and office supplies
  • Track inventory levels and notify management of supply needs
  • Communicate with vendors to obtain quotes and ensure timely deliveries
  • Maintain accurate purchase order records and receipts
  • Reconcile purchase orders with invoices for approval and processing
  • Assist the operations team in coordinating material deliveries to job sites

Qualifications:

  • High school diploma or equivalent required; associate’s degree preferred
  • 1–2 years of administrative, front desk, or purchasing experience
  • Strong communication and customer service skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Proficient in Microsoft Office (Word, Excel, Outlook); experience with purchasing or ERP systems a plus
  • Familiarity with landscaping or construction industry preferred but not required

7AM-4PM
