Overview
The Receptionist will serve as a main point of contact for callers and visitors with inquiries. Will operate multi-line telephone system to answer incoming calls and direct callers to appropriate personnel. Will sort incoming mail and packages for distribution and dispatch outgoing mail.
Responsibilities

- Serve as the first point of contact for all job applicants and visitors to the Workforce Center, many of whom are native Spanish speakers.
- Provide accurate information, instructions, and guidance in both English and Spanish to support applicants through the hiring process.
- Answer incoming telephone calls, determine the purpose of callers, and forward calls to appropriate personnel or department.
- Welcome on-site visitors, determine the nature of their business, and announce visitors to appropriate personnel.
- Answer questions about the organization and provide callers with address, directions, and other information.
- Create and print fax cover sheets, memos, correspondence, job listings, telephone reports, and other documents when necessary.
- Maintain anything pertaining to Federal Express and prepare daily reports.
- Maintain supply cabinet and assist in ordering office supplies and toner cartridges.
- Maintain postage meter.
- Maintain fax machine, retrieve, and route incoming faxes.
- Perform other clerical duties as needed, such as filing, photocopying, and collating.
- Retrieve messages from voice mail and forward messages to appropriate personnel.
- Sort and stamp date of receipt on all incoming mail.
Qualifications
Physical
- Occasionally required to lift up to 25 pounds.
- Regularly required to talk or hear.
- Frequently required to walk, sit, and reach with hands and arms.
- Subject to repetitive use of hands/arms.
- Occasionally required to stand, stoop, kneel, crouch, bend, and use hands and fingers to handle and feel.
- Vision requirements include close vision, distance vision, and ability to adjust focus.
- Will need to perform sedentary to heavy work.
Mental
- Must have the ability to direct others and communicate effectively with management and supervision.
- Talking, reading, and writing comprehension are necessary for giving and receiving work instructions and safety policies.
- Ability to use math and complete calculations.
- Must be able to concentrate amid distractions and remember details.
- Ability to use computer, keyboard, telephone, and other office devices.
- Bilingual in English and Spanish (required).
- Ability to communicate effectively with a diverse group of applicants and employees, including those with limited English proficiency.
