Job Description
Seeking a detail-oriented and highly professional individual to serve as the first point of contact for the Marshall University Foundation, Inc.
The mission of the Foundation is to support and promote the activities and programs of Marshall University.
POSITION SUMMARY
The Receptionist and Administrative Assistant is charged with the overall management of the front desk while providing a wide range of administrative support functions for the Foundation office. Under the supervision of the Director of Board Relations and Chief of Staff, this position requires a professional demeanor, excellent communication skills, and the ability to manage multiple priorities effectively.
The successful candidate will work closely with Foundation staff, donors, board members, students, and campus partners to ensure a high level of service and office efficiency. This individual will also provide supervision to Graduate Assistants and assist with various administrative projects and logistical needs of the organization.
DUTIES AND RESPONSIBILITIES
*Greet and welcome all office visitors in a professional and courteous manner, ensuring a positive first impression. Maintain the visitor log and ensure guests are directed to the appropriate staff members.
*Answer and direct incoming calls promptly, accurately taking and delivering messages as needed.
*Maintain an organized, clean, and welcoming front desk area at all times.
*Manage the pick-up and delivery of mail, including processing donation checks and delivering them to the appropriate Gift Officer or accounting personnel.
*Notify staff members of received packages or deliveries in a timely manner.
*Schedule appointments and meetings, managing calendar availability across departments effectively.
*Coordinate travel arrangements for staff when required.
*Maintain office supply inventory and place orders as needed.
*Assist with elements of Board of Directors work, including materials and meeting notebooks.
*Handle basic data entry, filing, and document management tasks to support office functions.
*Prepare requisitions and encumbrances using the Marshall University Banner system.
*Maintain excellent working relationships with colleagues, guests, and university partners; as well as provide customer service to clients and visitors
*Provide general administrative support and project coordination as needed.
*Ensure confidentiality and discretion in handling sensitive information.
*Supervises work of Graduate Assistants, including planning, assigning, scheduling, and reviewing work, ensuring quality standards. Responsible for hiring, terminating, training and developing, reviewing, and payroll. Plans organizational structure and position content.

Required Qualifications Education *High school diploma or GED required; bachelor’s degree in administration or related field preferred. Experience *Minimum of 3–5 years of administrative or office coordination experience. *Proficiency in Microsoft Office Suite, including Outlook, Word, and Excel. Experience using Banner system is a plus. *Knowledge of administrative concepts, office practices, and ability to apply procedures in varied situations.
