Job description

POSITION OBJECTIVE: Serve as the first point of contact for visitors and callers, while providing administrative support to the Finance and Office Operations teams.

REPORTS TO: Director, Office Operations

LOCATION: Washington, DC

PAY RANGE: An hourly equivalent to $50,000 - $55,000 annually

Duties And Responsibilities

  • Handle front desk operations, answering and referring inquiries, greeting and directing visitors, clients, and vendors in a professional and welcoming manner
  • Maintain the front desk operating guide and recommend improvements as needed
  • Ensure reception areas are clean, organized, and well-maintained
  • Provide administrative support for the Director, Office Operations and others, as needed
  • Provide administrative support for AFBF Board Meetings and internal meetings, as directed
  • Schedule internal conference rooms according to AFBF guidelines and distribute the DC Office Daily Meeting Schedule, including confirming dates and times, room setups, and scheduling with the meeting host, HelpDesk, and Facility Operations
  • Maintain records and process vendor invoices for the Finance and Operations Department, adhering to the document retention policy
  • Prepare expense reports for certain AFBF staff
  • Conduct vendor and product research
  • Provide assistance on special projects, as needed
  • Provide assistance for “All Things Social” events
  • Act as backup to the Office Services Coordinator position
  • Other duties as assigned

Relationships

Communicate and coordinate with all AFBF staff and visitors. Communicate with state staff and outside service providers and suppliers as needed.

Education Or Training Required
