Position Summary
The Receptionist serves as the first point of contact for the organization and is responsible for creating a welcoming, professional experience for employees, visitors, vendors, and other guests. This position manages front-desk operations, answers and directs telephone calls, greets visitors, coordinates mail and deliveries, and provides general administrative support.
- Greet and welcome employees, visitors, vendors, and guests in a professional and courteous manner.
- Answer, screen, and direct incoming telephone calls to the appropriate individual or department.
- Manage the reception area and ensure it remains clean, organized, and professional.
- Receive, sort, and distribute incoming mail, packages, and deliveries.
- Prepare and coordinate outgoing mail, packages, and shipments as needed.
- Maintain visitor logs and follow established visitor access and security procedures.
- Notify employees when visitors arrive and assist with directions and other basic needs.
- Coordinate conference room schedules and assist with meeting setup as needed.
- Provide general administrative support, including copying, scanning, filing, data entry, and document preparation.
- Order and maintain office, kitchen, and reception-area supplies.
- Assist with scheduling meetings, coordinating office events, and other administrative activities.
- Maintain accurate records and files as assigned.
- Assist employees and visitors with general questions and direct inquiries to the appropriate resources.
- Support various departments with administrative tasks and special projects as needed.
- Maintain confidentiality of company, employee, and other sensitive information.
- Follow company policies, procedures, safety requirements, and applicable regulations.
- Perform other duties and responsibilities as assigned.
Qualifications
Required Qualifications
- High school diploma or equivalent.
- 1+ year of experience in a receptionist, administrative, customer service, or similar role preferred.
- Excellent verbal and written communication skills.
- Professional, friendly demeanor with a strong customer-service orientation.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
- Ability to maintain confidentiality and exercise sound judgment.
- Ability to work effectively with employees, visitors, vendors, and individuals at all levels of the organization.
Preferred Qualifications
- Previous experience in a corporate or professional office environment.
- Experience managing a multi-line phone system or front-desk operations.
- Experience with scheduling, administrative support, or office coordination.

Physical Requirements
- Ability to sit, stand, and move throughout the office for extended periods.

Work Environment
This position is primarily performed in a professional office environment. The Receptionist regularly interacts with employees, visitors, vendors, and other guests and is expected to maintain a professional, welcoming, and service-oriented presence at the front desk.
