Position Summary
Boudreau Pipeline Corporation is seeking a professional, customer-focused, and highly organized Bilingual Receptionist to serve as the first point of contact for visitors, applicants, employees, vendors, and clients. This role supports both Human Resources and administrative operations by managing front desk activities, employee records, onboarding processes, communications, and office administration.
The ideal candidate thrives in a fast-paced construction environment, demonstrates exceptional customer service skills, maintains confidentiality, and is fluent in both English and Spanish. This position plays a key role in creating a welcoming experience while supporting recruiting, onboarding, employee relations, and day-to-day office operations.
- Greet and assist visitors, applicants, employees, clients, and vendors in a professional and welcoming manner.
- Follow company visitor and security protocols, including visitor sign-in procedures.
- Answer and route incoming telephone calls efficiently and professionally.
- Take, document, and distribute messages accurately.
- Respond to general inquiries and provide information regarding company services and employment opportunities.
- Maintain reception and lobby areas in a clean, organized, and professional manner.
Human Resources Support
- Assist with new hire onboarding, orientation scheduling, and onboarding documentation.
- Maintain employee personnel files and ensure compliance with company and legal requirements.
- Enter and maintain employee data in HRIS systems, payroll platforms, and other company databases.
- Assist with employment verifications, personnel updates, and employee status changes.
- Support recruiting activities including candidate communications, interview scheduling, and applicant tracking.
- Conduct employee file audits to ensure required documentation is complete and current.
- Assist with benefits administration, workers' compensation documentation, leave records, and HR reporting.
- Translate employment documents, policies, forms, presentations, and conversations between English and Spanish.
Administrative & Office Operations
- Receive, sort, distribute, scan, and electronically file incoming mail and documents.
- Coordinate outgoing mail and courier services including USPS, FedEx, UPS, and other delivery services.
- Order, maintain, and track office supplies and forms inventory.
- Process office supply invoices and submit supporting documentation to Accounting .
- Assist with document management, electronic recordkeeping, and retention procedures.
- Maintain conference room schedules and assist with meeting coordination.
- Support company events, employee recognition programs, and special projects.
Accounting & Department Support
- Assist Accounting with preparing checks, mailings, and document distribution as needed.
- Maintain administrative logs and communication records.
- Partner with various departments to support operational needs and employee services.
- Perform other duties and special projects as assigned.
Qualifications
Required
- High School Diploma or equivalent required.
- Minimum 2 years of experience in reception, administrative support, human resources, or office coordination.
- Bilingual (English/Spanish) with strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams).
- Experience working with HRIS, payroll, or applicant tracking systems preferred.
- Strong organizational skills and attention to detail.
- Ability to handle confidential and sensitive information with discretion.
- Excellent customer service and interpersonal skills.
- Ability to prioritize multiple tasks in a fast-paced environment.
Preferred
- Experience supporting Human Resources functions.
- Experience within the construction, utility, or field services industry.
- Knowledge of California employment practices and onboarding requirements.
- Experience working with payroll systems, electronic personnel files, and document management systems.

Physical Demands and Work Environment
This position is primarily sedentary to light work in nature. The employee is regularly required to sit for prolonged periods, use hands and fingers to operate office equipment, and occasionally stand, walk, bend, or reach. The employee may occasionally lift or move materials weighing up to 20 pounds.
Work is typically performed in a professional office environment, with occasional visits to field or construction sites. Employees may be exposed to outdoor weather conditions, dust, and construction noise when visiting job sites. All work must be performed in compliance with OSHA and applicable state safety regulations, including the use of appropriate personal protective equipment (PPE).
