Receptionist
Location: Chicago, IL (West Loop) Schedule: On-site Monday-Thursday
Are you a polished, customer-focused professional who enjoys creating a welcoming environment and keeping an office running smoothly? We are seeking a friendly and organized Receptionist/Office Coordinator to serve as the face of a dynamic corporate headquarters in Chicago's West Loop.
Key Responsibilities
Front Desk & Guest Services
- Serve as the primary point of contact for visitors, clients, and employees.
- Professionally answer and direct incoming phone calls.
- Welcome guests, coordinate visitor check-ins, notify hosts, and provide exceptional customer service.
- Manage incoming deliveries, shipments, mail, and package distribution.
- Maintain a professional and inviting reception area.
Office Administration
- Track and coordinate office supplies and inventory needs.
- Assist with facility-related requests and building management communications.
- Manage visitor schedules, meeting room reservations, and workspace coordination.
- Support day-to-day office operations to ensure efficiency and organization.
Hospitality & Workplace Experience
- Help create a positive employee and visitor experience by maintaining shared office spaces.
- Restock breakrooms, refrigerators, coffee stations, and office amenities.
- Ensure conference rooms and meeting areas are fully prepared and presentation-ready.
- Coordinate equipment and resource check-out processes.
- Assist with meeting setups, client visits, and company events.
- Partner with administrative, operations, and leadership teams on special projects and events.

Preferred Experience
- 1+ year of receptionist, administrative, front desk, or office support experience.
- Proficiency with Microsoft Office (Outlook, Word, Excel, Teams).
- Experience with scheduling, calendar coordination, and office operations is a plus.
Physical Requirements
- Frequent computer and telephone use.
- Ability to lift or carry items up to 25 pounds as needed.
