Job summary

Qualifications

• High school diploma or GED required.
• Previous clerical, administrative, receptionist, or customer service experience preferred.
• Strong verbal and written communication skills.
• Professional demeanor with excellent interpersonal skills.
• Ability to multitask and prioritize responsibilities in a busy office environment.
• Strong organizational skills and attention to detail.
• Proficiency with standard office equipment and basic computer applications.

Responsibilities

• Serve as the first point of contact for visitors and callers, providing exceptional customer service both in person and over the phone.
• Operate a multi-line phone system, answer incoming calls, determine caller needs, and direct calls to the appropriate department or team member.
• Take and distribute messages or transfer calls to voicemail when necessary.
• Provide information regarding the organization, including directions, contact information, and general inquiries.
• Welcome visitors, determine the purpose of their visit, and notify appropriate personnel of their arrival.
• Monitor visitor access and issue visitor passes as required.
• Coordinate and schedule conference rooms and meeting spaces.
• Receive, sort, distribute, and process incoming and outgoing mail and publications.
• Support office operations by maintaining fax equipment and assisting with document transmission and routing.
• Order, receive, and maintain office supplies to ensure the office remains well-stocked and organized.
• Complete various administrative and clerical tasks, including filing, photocopying, scanning, data entry, and special projects as assigned.
