Job summary

Nude Miami is seeking a Receiving Coordinator to manage the flow of all incoming products at our Miami store. You will receive, inspect, and organize deliveries, verify orders against POs, invoices, and packing slips, and coordinate credits and replacements to keep operations smooth.

Ideal candidates are highly organized, detail-oriented, and able to communicate with vendors and store teams to resolve issues promptly.

Qualifications

• 1+ year of experience in grocery receiving, inventory, warehouse operations, retail, or food distribution preferred.
• Experience receiving perishable grocery products strongly preferred.
• Comfortable working with purchase orders, invoices, packing slips, and inventory systems.
• Extremely detail-oriented with the ability to catch quantity, pricing, quality, and order discrepancies.
• Strong organizational and communication skills.

Responsibilities

• Receive and process daily deliveries from distributors, farms, and vendors.
• Verify incoming products against purchase orders, invoices, and packing slips.
• Confirm quantities, SKUs, pricing, and product condition upon arrival.
• Inspect deliveries for damages, shortages, incorrect products, and quality issues.
• Ensure refrigerated, frozen, and perishable products are handled and stored promptly.
• Coordinate deliveries to minimize disruption to store operations.
• Maintain a clean, organized receiving area.
• Identify and document shortages, damages, substitutions, and incorrect products.
• Photograph and record discrepancies when necessary.
• Communicate issues with vendors, distributors, and management.
• Ensure credits, refunds, and replacements are properly documented and followed through to completion.
• Maintain accurate records of deliveries and receiving issues.
• Escalate recurring vendor or product issues to management.
• Properly label, date, organize, and store incoming inventory.
• Follow FIFO standards when placing incoming inventory into storage.
• Assist with inventory and cycle counts as needed.
• Communicate incoming inventory, shortages, and out-of-stock products to department leads.

About This Role

The Receiving Coordinator is responsible for managing the flow of all incoming products at Nude Miami. You’ll receive and inspect deliveries, verify orders against purchase orders and invoices, identify discrepancies, coordinate credits and replacements, and ensure products are properly organized and transferred to the correct department.

We work with a wide network of farms, distributors, and independent brands, with deliveries arriving throughout the week across grocery, produce, meat, dairy, prepared foods, beverages, and wellness.

This is a hands-on role for someone who is highly organized, detail-oriented, and takes pride in making sure everything is accounted for.

What You’ll Do

Receiving & Deliveries

• Receive and process daily deliveries from distributors, farms, and vendors
• Verify incoming products against purchase orders, invoices, and packing slips
• Confirm quantities, SKUs, pricing, and product condition upon arrival
• Inspect deliveries for damages, shortages, incorrect products, and quality issues
• Ensure refrigerated, frozen, and perishable products are handled and stored promptly
• Coordinate deliveries to minimize disruption to store operations
• Maintain a clean, organized, and efficient receiving area
• Identify and document shortages, damages, substitutions, and incorrect products
• Photograph and record discrepancies when necessary
• Communicate issues with vendors, distributors, and management
• Ensure credits, refunds, and replacements are properly documented and followed through to completion
• Maintain accurate records of deliveries and receiving issues
• Escalate recurring vendor or product issues to management

Inventory & Organization

• Properly label, date, organize, and store incoming inventory
• Ensure products are quickly transferred to the appropriate department or storage area
• Maintain organized back stock, walk-ins, freezers, dry storage, and receiving areas
• Follow FIFO standards when placing incoming inventory into storage
• Assist with inventory and cycle counts as needed
• Communicate incoming inventory, shortages, and out-of-stock products to department leads
• Help maintain accurate inventory across the store

Product Quality & Food Safety

• Inspect produce, meat, poultry, dairy, refrigerated goods, and other perishables for quality and freshness
• Ensure incoming products meet Nude Miami’s quality standards before accepting them
• Verify temperatures of refrigerated and frozen deliveries when required
• Follow proper food safety, handling, storage, and sanitation procedures
• Reject or escape products that arrive damaged, spoiled, improperly stored, or outside acceptable quality standards
• Maintain a clean and sanitary receiving and storage environment

Team Coordination

• Work closely with Retail, Cafe, Kitchen, Produce, and management teams
• Communicate clearly with department leads regarding deliveries, shortages, substitutions, and product issues
• Ensure products reach the correct department quickly and efficiently
• Coordinate with purchasing and management when orders do not match expectations
• Support the broader store operation during high-volume periods when needed

Who This Role Is For

Availability:

Strong morning and daytime availability is required, including weekends. Delivery schedules may require early starts.

• 1+ year of experience in grocery receiving, inventory, warehouse operations, retail, or food distribution preferred
• Experience receiving perishable grocery products strongly preferred
• Comfortable working with purchase orders, invoices, packing slips, and inventory systems
• Extremely detail-oriented with the ability to catch quantity, pricing, quality, and order discrepancies
• Strong organizational and communication skills
• Comfortable communicating directly with drivers, vendors, distributors, and department leads
• Able to manage multiple deliveries and priorities in a fast-paced environment
• Reliable, punctual, and capable of working independently
• Comfortable standing for extended periods and regularly lifting up to 50 lbs
• Food Handler Certification or willingness to obtain upon hire
• Passion for food, quality, and operational excellence is a major plus
