Buchalter APC, a full-service business law firm, has an immediate opening for a Real Estate Legal Assistant based in our San Francisco office. There is only one opening.
In this role, you will be responsible for providing high-level administrative and organizational support to multiple corporate attorneys. This role requires exceptional organizational skills, the ability to manage competing priorities in a fast-paced environment, and a commitment to delivering high-quality assistance in support of the firm’s transactional legal services.
Essential Functions
- Draft, proofread, edit, and finalize real estate legal documents, including purchase and sale agreements, leases, deeds, closing documents, title affidavits, letters, and correspondence.
- Assist with preparing real estate transactional documents, such as property transfer documents, escrow instructions, loan documents, and lease amendments.
- Ensure documents comply with firm standards and applicable legal formatting requirements.
- Prepare closing binders and maintain transaction checklists to ensure all deliverables are met.
- Manage attorney calendars, schedule meetings, calls, and deadlines related to client matters.
- Track key dates, critical deadlines, and follow-ups for transactions, filings, and deliverables.
- Coordinate with clients, opposing counsel, and third parties to schedule and confirm meetings or closings.
- Handle administrative tasks related to real estate transactions, including maintaining client files, organizing due diligence documents, and submitting filings for recording.
- Manage travel arrangements, meeting logistics, and other administrative needs.
- Maintain confidentiality and professionalism Real Estate Legal Assistant in handling sensitive client and firm information.
Qualifications
- High School Diploma or equivalent is required. Bachelor’s degree is a plus.
- 5+ years of transactional experience, preferably supporting multiple attorneys in a mid-size to large law firm or a similar environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with legal document management software, such as iManage.
- Familiarity with legal terminology, processes, and protocols.
Work Environment
- This position is hybrid offering four remote workdays per month.
- The office environment is professional, collaborative, and focused on supporting high-stakes legal work in a law firm.
- Overtime may be required on an as-needed basis.
