Job Summary:

The Real Estate Closing Manager plays a key role in guiding Palmetto Bluff Real Estate Company’s developer and resale transactions from contract execution through closing and post-closing. This position ensures each transaction is handled accurately and efficiently, with thoughtful attention to detail and the client experience. The Closing Manager works closely with sales agents, clients, attorneys, lenders, title professionals, builders, developers, Accounting, database administrators, and other internal teams to manage deadlines, documentation, financial coordination, compliance, reporting, and communication. As the primary resource for transaction-related questions and challenges, this role also leads and supports the closing team while maintaining the systems and procedures needed for a consistent and well-organized closing operation.

Essential Job Functions:

Job duties include but are not limited to:

  • Manage developer and resale transactions from receipt of a fully executed contract through closing and completion of all post-closing requirements.
  • Oversee the active transaction pipeline, including contractual deadlines, contingencies, amendments, deposits, inspections, financing requirements, closing dates, and outstanding documentation.
  • Review contracts, disclosures, settlement statements, deeds, affidavits, and related documents for completeness, accuracy, required signatures, and consistency with approved transaction terms.
  • Coordinate closing activities and communication among buyers, sellers, sales agents, attorneys, lenders, title professionals, builders, developers, Accounting, and internal leadership.
  • Serve as the primary point of contact for closing-related matters, identifying, resolving, and escalating issues that could affect compliance, client experience, revenue, or timely completion.
  • Verify inventory, property information, pricing, incentives, commissions, purchaser information, dues, assessments, transfer fees, and other material transaction terms with the Broker-in-Charge and appropriate leadership.
  • Prepare and distribute contracts, amendments, disclosures, notices, closing correspondence, and purchaser or seller information.
  • Maintain complete, accurate, confidential, and audit-ready transaction files, ensuring final documents, funds, and records are properly retained and distributed.
  • Monitor earnest-money deposits and closing-related funds, coordinating their documentation and delivery to Accounting.
  • Review settlement statements and reconcile transaction information across contracts, closing files, database records, and Accounting reports.
  • Research and resolve financial or transaction discrepancies in collaboration with attorneys, Accounting, sales agents, and leadership.
  • Provide accurate and timely information for revenue recognition, commission processing, reconciliation, projected closings, sales volume, inventory, and leadership reporting.
  • Maintain accurate contract, pending-sale, closing, pricing, and inventory information in Propertybase and other applicable systems.
  • Prepare recurring and ad hoc transaction and sales reports, resolving data discrepancies before distributing information or using it for reporting.
  • Maintain closing calendars, pipeline reports, tracking tools, templates, and standardized transaction documentation.
  • Supervise, train, and provide ongoing direction to the Sales Operations Closing Coordinator and other assigned closing support staff, in collaboration with the Real Estate Operations Manager.
  • Delegate and review transaction responsibilities while retaining accountability for the accuracy and timely completion of closing activities.
  • Establish coverage and cross-training plans to support continuity during absences, staffing transitions, and periods of increased volume.
  • Partner with the Real Estate Operations Manager to evaluate workload, staffing needs, operational priorities, and transaction risks.
  • Develop, maintain, and consistently apply closing procedures, checklists, templates, and internal controls.
  • Ensure closing practices comply with company policies, contractual requirements, approved procedures, confidentiality standards, and record-retention expectations.
  • Identify opportunities to improve workflow, communication, data quality, internal controls, and business continuity.
  • Document essential closing knowledge and procedures to support training and succession planning.
  • Perform other related duties as assigned.
  • Exercise independent judgment in prioritizing transactions, managing competing deadlines, resolving routine closing matters, allocating work, and determining when escalation is necessary. Refer legal interpretations and questions to the appropriate licensed professional.
  • Standard business hours are Monday through Friday, generally 8:30 a.m. to 5:00 p.m. Flexibility may occasionally be required to support transaction deadlines, scheduled closings, or urgent business needs.
Qualifications:
  • Two or more years of progressively responsible experience in real estate transaction management, closing coordination, title, legal support, or a closely related field.
  • Supervisory experience, paralegal certification or relevant legal support experience, and experience with high-value residential, developer, resort, or master-planned community transactions are preferred.
  • Working knowledge of residential real estate contracts, settlement documentation, developer and resale transactions, and the ability to identify inconsistencies and coordinate resolution.
  • Strong organizational, prioritization, and time-management skills, with exceptional attention to detail, accuracy, and follow-through.
  • Sound judgment and the ability to remain composed, responsive, and accountable as deadlines, priorities, and transaction circumstances change.
  • Excellent written, verbal, interpersonal, and client-service skills, with the ability to communicate professionally with clients, agents, attorneys, lenders, executives, and cross-functional partners.
  • Advanced proficiency in Microsoft Outlook, Word, and Excel, as well as electronic signature, document-management, CRM, and transaction-management systems. Experience with Salesforce, Propertybase, and DocuSign is preferred.
  • Ability to work independently and collaboratively, lead and train support staff, document workflows, recommend practical process improvements, and appropriately identify and escal**?**
  • High level of integrity, discretion, dependability, and accountability when handling confidential client, legal, financial, and transaction information.
  • South Carolina Notary Public commission or the ability to obtain one promptly after hire.
Physical Requirements:
  • Ability to perform sustained computer and desk-based work with close visual attention to documents and data.
  • Ability to communicate frequently and effectively in person, by telephone, and through written correspondence.
  • Ability to operate standard office equipment and work in a professional office environment.
  • Ability to stand, stoop, bend, and occasionally lift or move objects weighing up to 30 pounds.
  • Vision to read printed materials and a computer screen, and hearing and speech to communicate in person and over the telephone.
