Halaby Capital Real Estate Asset Management Associate or (“VP”) - Job Description
Company Overview:
Halaby Capital is a small, dynamic real estate investment firm specializing in the acquisition, repositioning, and management of value-priced multifamily assets. We are committed to creating a positive impact on the communities we serve, offering clean, safe, and high-value living options. Our team is entrepreneurial, data-driven, and passionate about delivering superior risk-adjusted returns for our investors.
Position Summary:
The Asset Management Associate is the operational core of Halaby Capital's portfolio function. This individual will own performance monitoring, financial reporting, and property manager oversight across a portfolio of stabilized and transitional multifamily assets. In addition, will help with secondary support on acquisitions as needed. The ideal candidate has deep hands‑on experience in B and C class multifamily operations, is fluent in property management software, and brings sharp operational financial analysis skills.
Roles and responsibilities:
This is primarily an asset management role. The Associate will own portfolio oversight across Halaby Capital's B and C class multifamily assets, with secondary involvement in acquisitions support as deal flow requires.
Asset Management
- Serve as the primary point of contact with third‑party property management companies across the portfolio, holding managers accountable to leasing, occupancy, collections, and expense targets.
- Prepare and present monthly and quarterly asset‑level reporting packages including variance analyses, KPI dashboards, leasing metrics, delinquency reports, and NOI performance vs. underwriting.
- Own the annual budget preparation process for each asset by building property‑level budgets in coordination with property managers, reviewing assumptions, and tracking performance against approved budgets throughout the year.
- Conduct ongoing financial analysis of property operations: identify underperformance, diagnose root causes, and recommend and implement corrective actions with urgency.
- Fluently navigate property management software (Yardi, RealPage, Entrata, or equivalent) to pull reports, audit data accuracy, analyze rent rolls, and track operational KPIs.
- Oversee capital improvement and value‑add renovation programs. Manage project timelines, draw schedules, vendor accountability, and return-on-cost tracking for all improvements.
- Monitor and manage lender reporting requirements, covenant compliance, reserve escrow draws, and insurance requirements across the portfolio.
- Help prepare quarterly investor reporting packages and support fund‑level performance reporting.
- Conduct quarterly site visits to assess physical condition, management execution, and capital needs.
- Evaluate hold/sell/refi decisions through ongoing asset valuation analysis.
- Track market rent trends, competitor performance, and submarket supply dynamics for each asset.
Acquisitions Support
- Work with VP of Acquisitions to evaluate multifamily investment opportunities.
- Help maintain detailed financial models in Excel.
- Conduct comprehensive market research including submarket rent and occupancy trends, comparable sales analysis, supply pipeline assessment, and demographic studies.
- Coordinate and manage due diligence process, including property inspections, market research, capital expenditures, and third‑party reports.
Qualifications:
Experience
- 3-5 years of experience in multifamily asset management, preferably with B and C class properties.
- Direct experience managing or overseeing third‑party property management companies, holding managers accountable to financial and operational targets.
- Demonstrated ability to own the full asset management cycle: budgeting, variance analysis, CapEx oversight, lender compliance, and investor reporting.
- Acquisitions or underwriting experience is a plus, not a requirement.
Technical Skills
- Fluency in at least one major property management software platform: Yardi, RealPage, Entrata, or AppFolio is a hard requirement. Must be able to pull reports, audit data, and analyze operational performance directly within the system.
- Advanced Excel proficiency with ability to build operational budgets, variance models, and financial analyses from scratch.
- Experience with real estate data platforms such as CoStar, REIS, RealPage, Yardi, or Entrata.
Core Competencies & Soft Skills
- Exceptional operations skills, understanding all the details of property level financials and catching issues before they compound.
- Strong written and verbal communication and willingness to hold property managers accountable professionally and present findings clearly to team.
- Highly organized and self‑directed to manage a multi‑asset portfolio without heavy oversight.
- Passionate about multifamily real estate and the operational levers that drive asset performance.
- Collaborative team player who thrives in a lean, entrepreneurial environment.
Compensation and Benefits:
We offer a competitive compensation package commensurate with experience, including:
- Base salary: $105,000 - $120,000 depending on experience
- Discretionary annual bonus
- Potential for carried interest / participation (deal and/or fund level)
- Typical benefits
- 401(k) with employer match
- 16+ days PTO (vacation and sick combined) in first year and flexible work arrangements
