Job summary

Spectraforce Technologies is seeking an experienced R&D Technician II to serve as Shipping Coordinator in Worcester, MA. This onsite role involves coordinating shipments from the site to CROs and other locations, preparing shipping documents, and ensuring regulatory compliance.

You will work with internal teams and carriers to track shipments, maintain records, and monitor packing supplies. Prior biotech/pharma shipping experience and familiarity with LIMS or inventory systems are advantageous.

Qualifications

  • Bachelor’s degree with 2–4 years of biologic sample processing or shipping.
  • Associate degree with relevant experience may be considered.
  • Strong knowledge of domestic and international shipping regulations.
  • Experience with FedEx and specialty couriers for scheduling/tracking.
  • Attention to detail and accuracy in shipping documentation and records.
  • Dry ice shipments beneficial; onsite training provided.
  • LIMS or inventory systems experience beneficial.
  • A high school diploma alone is not sufficient for this role.
  • Knowledge of hazardous materials handling procedures.
  • Proficiency with FedEx/UPS/DHL scheduling and tracking.
  • MS Office proficiency (Word, Excel, Outlook).
  • Experience as Shipping Coordinator in pharma/biotech preferred.

Responsibilities

  • Coordinate and manage shipment of materials to CROs and other sites.
  • Prepare and review shipping documents (BOLs, labels, customs) for accuracy.
  • Collaborate with internal teams to ensure shipment coordination.
  • Communicate with carriers to schedule and track shipments for on-time delivery.
  • Maintain records of shipments, tracking numbers, and documentation.
  • Monitor inventory of shipping supplies and maintain adequate stock.
  • Identify and resolve delays or issues with internal/external stakeholders.
  • Stay updated on shipping regulations and best practices; contribute to SOPs.
  • Provide regular shipping activity reports and risk/opportunity notes.

Position Title: R&D Technician-Shipping Coordinator

Work Location: Worcester, MA 01604

Assignment Duration: 12 Months

Work Arrangement: Onsite

Position Summary:

This R&D Technician II position will serve as the Shipping Coordinator within the Sample Management group. The Sample Management group is responsible for managing the various samples used for The Organization's Research and Development activities.

Background & Context:

The individual will coordinate shipments from the Worcester site to external Contract Research Organizations (CROs) and other sites.

Key Responsibilities:
  • Coordinate and manage the shipment of materials from The Organization to other sites and collaborators, ensuring compliance with all applicable regulations and guidelines.
  • Prepare and review shipping documents, including bills of lading, shipping labels, and customs documentation, to ensure accuracy and completeness.
  • Collaborate with internal teams to ensure proper coordination and execution of shipments.
  • Communicate with internal and external partners, including freight forwarders and carriers, to schedule and track shipments, ensuring on-time delivery.
  • Maintain accurate records of all shipments, including tracking numbers, delivery confirmations, and any relevant documentation.
  • Monitor and manage inventory levels of shipping supplies, such as boxes, labels, and packing materials, ensuring adequate stock is maintained.
  • Identify and resolve any issues or delays in the shipping process, working closely with internal and external stakeholders to find timely solutions.
  • Stay up-to-date with relevant shipping regulations, guidelines, and industry best practices, ensuring compliance and continuous improvement.
  • Assist in the development and implementation of shipping-related policies, procedures, and standard operating protocols.
  • Provide regular reports and updates to management on shipping activities, including metrics, performance, and any potential risks or opportunities.
Qualifications & Experience:
  • Candidates should possess a bachelor's degree with 2-4 years of experience in biologic sample processing, shipping, or a related field.
  • Candidates with an associate's degree and sufficient relevant experience may also be considered.
  • Candidates should have strong knowledge of domestic and international shipping regulations.
  • Candidates should have previous experience working with FedEx and specialty courier services for scheduling and tracking shipments.
  • Candidates should demonstrate strong attention to detail and accuracy to ensure shipping documentation and records are complete and error-free.
  • Previous experience with dry ice shipments would be beneficial; however, all required job-specific processes will be taught through onsite training.
  • Experience working with Laboratory Information Management Systems (LIMS) or inventory management systems would be beneficial but is not required.
  • Candidates with a high school diploma alone are not considered ideal for this position.
  • Strong knowledge of shipping regulations, including domestic and international requirements, customs procedures, and hazardous materials handling.
  • Proficient in using shipping software and systems, such as FedEx, UPS, or DHL, to schedule and track shipments.
  • Attention to detail and accuracy, ensuring all shipping documents and records are complete and error-free.
  • Proficient in using Microsoft Office Suite (Word, Excel, Outlook) and other relevant software applications.
  • Proven experience as a Shipping Coordinator or similar role, preferably in a pharmaceutical or biotechnology industry.
Working Conditions & Physical Demands (If Applicable):
  • Continuous walking/packaging shipments for prolonged periods (more than 2 consecutive hours in an 8-hour day)
  • Able to lift 50 pounds
  • The role involves continuously preparing shipments throughout most of the day.
  • The position requires frequent walking between work areas and the loading dock, extended periods of standing, and the ability to lift at least 50 pounds.
