Job summary

Projects Unlimited is seeking a detail-oriented Quotes Coordinator to forecast raw materials costs, prepare BOM data, and negotiate supplier terms for bid proposals. You will work with cross-functional teams to ensure accurate costings and timely submissions, while adhering to ITAR/EAR regulations.

Ideal candidates have 2–4 years in purchasing/quoting, strong Excel skills, and the ability to communicate effectively with suppliers and internal stakeholders.

Qualifications

• 2–4 years of purchasing and/or quoting experience preferred.
• Customer service experience preferred.
• Strong MS Excel skills and professional presence.
• Able to communicate effectively with cross-functional teams.

Responsibilities

• Analyze blueprints and specs to prepare final proposal packet.
• Create BOM from customer lists and specs.
• Determine raw material requirements through data review.
• Develop supplier RFQs for raw materials.
• Collaborate with Program Management to meet customer needs.
• Oversee documentation export per ITAR/EAR.

What You’ll Be Doing:

The purpose of the Quotes Coordinator position is to: 1) Forecast raw materials cost for simple to complex assemblies including supplier selection 2 ) Focus on material costs and process routings 3) Prepare the bill of material data in accordanc e with customer specification. 4) Negotiate with suppliers for best price, minimum buy quantities and lead times in order to calculate the material cost for proposals. 5 ) Complete, record and maintain bid request matrix. 6) Follow company policy and procedure to ensure a safe, respectful workplace.

• A nalyze blueprints, specifications, technical data, proposals to create final proposal packet.
• Prepare bill of material using customer provided parts lists and specifications.
• D etermine s raw material requirements by thorough review of data.
• Develops requests for proposals to vendors for raw materials.
• Analyze customer statement of work to determine best course of action for sub-assemblies, fabricated materials and out- serves.
• C ollect s and analyz es information to resolve component discrepancies.
• Utilize the ERP system as required for stock levels and historic analysis in d evelop ing material availability and cost.
• Leverages purchasing department to obtain best supplier results when necessary.
• Collaborates with Program Management, M anufacturing, E ngineering and Q uality to determine decisions, strategies and customers’ needs.
• Analyzes and determines best supplier selection based on variable criteria.
• Research various types of equipment availability, tooling and/or miscellaneous costs for consideration and inclusion into final bid.
• N egotiate with suppliers for be s t pric e, best lead times and/ or break s up minimum buy s as required .
• Collaborate with Program Management to secure customer approved parts list for no-bid/obsolete situation s.
• Oversee documentation export in accordance with ITAR/EAR regulations.
• Other duties as assigned.

Requirements

Education:

Degree in Supply Chain, Mechanical Engineering or other technical field is preferred, but not required .

High school diploma or GED required.

Skills/Qualifications/Experience:

• 2 - 4 years of experience in Purchasing and/or Quoting or related field is preferred.
• Customer Service experience preferred.
• Must have professional presence and initiative.
• Proficient in the Microsoft Office suite with advanced skill level in E xcel.
• Ability to communicate effectively, both verbally and in writing.
• Must be able to interact effective­ly with peers, management and cross‑functional areas with both technical and non‑technical people.

Standard office environment.

Employees are required to wear safety equipment consisting of: closed-toed shoes, safety glasses, heel straps, wrist straps, and electro-static discharge lab coats while on the production floor and are occasionally exposed to fumes, airborne particles, toxic/caustic chemicals, and minimal risk of electrical shock .
