Job summary

United Electric Supply Co. Inc. is seeking a detail-oriented Quotes Administrator to support customers and the sales team.

You will prepare accurate project quotes, assemble BOMs in JMS, and coordinate with Outside Sales to ensure timely project flow from initial quote through completion. You will maintain quote accuracy, review POs, and develop submittals while building strong vendor and customer relationships.

Responsibilities

  • Communicate effectively with customers.
  • Collaborate with Outside Sales to secure projects.
  • Maintain all quotes electronically in JMS.
  • Prepare Bill of Materials (BOM) in JMS and submit to customer and Outside Sales Rep.
  • Ensure total accuracy of quote including spares, freight, storage, lift gates, vendor deposits, etc.
  • Identify projects to utilize the Instant Rebate Program.
  • Review Purchase Order and include Terms and Conditions.
  • Prepare submittals as requested and monitor their return via check list.
  • Review returned submittals and renegotiate with vendors if necessary.
  • Coordinate with Outside Sales to complete project paperwork.
  • Finalize paperwork with Outside Sales, updating any lead times on approved BOM.
  • Update final BOM in JMS and send to assigned Project Administrator for review.
  • Develop and maintain positive relationships with vendors, customers, and employees.
  • Stay up to date on new products by attending trade shows and seminars.
  • Engage in Life Long Learning activities and meet yearly requirements.
  • Participate in pre-job and project review meetings.
  • Performs other duties as obvious or assigned.

Position Summary

In this role, you’ll support customers and the sales team by preparing accurate quotes and project documentation that help secure lighting projects. You’ll partner with Outside Sales, vendors, and customers to ensure smooth project flow from initial quotes through completion, while maintaining accuracy, strong communication, and positive relationships. Stay current on products and processes to deliver great service and successful project outcomes.
