Job summary

VulcanForms Inc. in the United States (Massachusetts) seeks a Document Control Specialist to manage documentation within our QMS, ensuring compliance with government regulations and ISO standards in aerospace and medical manufacturing.

You will maintain metadata, enforce version control, and coordinate audits, working with engineering, quality, and manufacturing teams to improve processes. Strong attention to detail is essential.

Qualifications

• 2–4 years of experience in documentation management.
• Experience in a manufacturing and/or medical device or aerospace and defense production environment strongly preferred.
• Knowledge of version control practices and document lifecycle workflows.
• Strong attention to formatting, indexing, and metadata tagging.
• Strong knowledge of MS Word, Excel, and Adobe.
• Experience using eQMS and/or PLM systems.
• Effective written and verbal communication, strong attention to detail, and organizational skills.
• A team player who collaborates across departments and builds positive relationships.
• Discretion with sensitive or proprietary information.

Responsibilities

• Release documentation within the QMS in collaboration with quality, manufacturing, and engineering.
• Ensure formatting, naming conventions, and metadata standards.
• Implement version control and document approval policies.
• Maintain and track documents throughout their lifecycle.
• Review and publish Change Orders per procedures and ISO standards.
• Create templates and forms for use by others.
• Ensure retention policies are followed and documentation is organized.
• Plan and coordinate documentation releases with owners and training requirements.
• Manage small documentation projects and execute tasks independently.
• Support administration of eQMS systems such as Greenlight Guru and Windchill.
• Prepare documentation packages for audits and compliance reviews.
• Work with quality SMEs to improve processes and systems.
• Provide cross-training to staff to ensure compliance.
• Support QA and Document Control with logging, scanning, and filing.
