Job summary

Malley’s Chocolates is seeking a detail-oriented Purchasing Specialist to support manufacturing operations in Cleveland. The role focuses on sourcing raw materials, packaging, and supplies, aligning with production schedules and inventory needs to maintain cost-effective procurement.

You will manage supplier relationships, issue POs, track orders, and ensure timely deliveries while maintaining accurate ERP/MRP records. Strong negotiation, Excel and analytical skills are essential.

Qualifications

  • Prior experience in purchasing, procurement, or supply chain preferred.
  • Excellent negotiation and communication skills.
  • Proficiency in ERP/MRP systems and advanced Excel skills.
  • Strong analytical and organizational abilities.
  • Assist with managing supplier relationships and resolving purchasing challenges efficiently.
  • Ability to lift up to 50 lbs. and work in temperature-variable environments as needed.

Responsibilities

  • Foster and maintain strong working relationships with vendors and suppliers through regular communication and collaboration.
  • Monitor inventory levels and issue timely purchase orders to support production requirements.
  • Track purchase orders and ensure on-time delivery of materials; proactively resolve delays or supply issues.
  • Collaborate with Production, Warehouse, and Inventory teams to forecast material requirements and maintain appropriate inventory levels.
  • Maintain accurate and up-to-date purchasing records within the ERP/MRP system.
  • Identify opportunities to reduce procurement costs while maintaining quality, service, and reliability.
  • Ensure all purchasing activities comply with company policies, quality standards, and applicable regulations.
  • Promptly communicate material shortages or supply chain issues that may impact production to the Production and Plant Managers.
  • Resolve receiving discrepancies and related issues promptly, ensuring appropriate follow-up with vendors until issues are fully resolved.
  • Obtain, review, and maintain Certificates of Analysis (COAs) from vendors to ensure compliance with quality and food safety requirements.
  • Assist with managing supplier relationships and resolving purchasing challenges in a timely and professional manner.
  • Perform other duties and responsibilities as assigned by leadership.

Position Overview
