Job summary

Kohanaiki is seeking a Purchasing & Receiving Lead / Back of House Manager in Kailua-Kona, Hawaii. This salaried role coordinates day-to-day purchasing, receiving, and Stewarding oversight across club departments, vendors, and accounting to ensure timely, accurate deliveries.

The position requires strong organizational skills, vendor management, and the ability to work with multiple departments in a high-service environment at a private club with luxury amenities.

Qualifications

• Previous purchasing, receiving, inventory, warehouse, hospitality, or related experience.
• Strong organizational and time-management skills.
• Excellent attention to detail and accuracy.
• Ability to work independently while coordinating with multiple departments.
• Strong computer skills and ability to learn purchasing, inventory, and accounting systems.
• Experience with vendor contracts, pricing, credits, and invoice reconciliation.

Responsibilities

• Coordinate the purchasing process for assigned Club departments and operational needs.
• Review purchase requests and orders for accuracy, pricing, quantities, and authorization.
• Obtain pricing and availability from approved vendors when necessary.
• Prepare and place purchase orders per Club procedures.
• Monitor order status, backorders, substitutions, and delivery dates.
• Communicate delays or issues to department leaders; identify alternatives.
• Oversee Stewarding operations and ensure cleanliness and standards.
• Assist with inventory counts, par levels, and supplier pricing analysis.
• Coordinate vendor deliveries to minimize disruption to Club operations.
• Maintain organized purchasing records and support audits and reporting.
• Support budget tracking and expense-control initiatives.
• Provide professional service to Club departments and maintain vendor relationships.
