Job summary

Qualifications

• High School diploma or equivalent required.
• 2+ years in purchasing, fleet management, inventory management, or similar admin role.
• Strong organizational and time management skills required.
• Proficient in Microsoft Excel and able to maintain detailed electronic tracking records.
• Ability to read, write, understand, and speak English.
• Effective verbal and written communication with staff, vendors, and external organizations.
• Must adhere to confidentiality, HIPAA, and policy requirements.
• Attention to detail and ability to manage multiple priorities.

Responsibilities

• Serve as the primary Operations point of coordination for purchasing, supply tracking, inventory management, and fleet administration.
• Source and evaluate suppliers, negotiate pricing, and create purchase orders per policies and budgets.
• Maintain detailed purchasing records in designated tracking systems.
• Provide timely communication to leadership regarding purchasing status and delays.
• Maintain vendor relationships and resolve delivery or pricing issues.
• Process purchase orders for reconciliation and payment following procedures.
• Monitor inventory levels and develop replenishment practices.
• Conduct routine inventories at residential sites and other locations.
• Identify trends to improve pricing and vendor decisions.
• Maintain shared fleet tracking records including vehicle status and service history.
• Ensure registrations, inspections, and preventive maintenance are current.
• Coordinate vehicle maintenance and servicing as needed.
• Assist with acquisition, reassignment, and disposal of fleet vehicles and equipment.
• Maintain driver information and ensure licensing training compliance.
• Keep records to support leadership visibility during absences or transitions.
• Identify opportunities to improve processes and support automation.
