Job summary

Recology is seeking a Maintenance Coordinator/Purchasing Coordinator for our Maintenance Department at the downtown San Francisco corporate office. The role involves coordinating vehicle and equipment acquisitions, managing purchase orders, and ensuring compliance with budgets and records.

Located five days a week in our SF offices with a Monday–Friday schedule, this position supports enterprise-wide fleet operations.

Qualifications

  • Four years of customer service and clerical experience.
  • Experience with fleet management systems or related knowledge.
  • Proficiency with Microsoft Office and other computer applications.
  • Ability to use computers and technology effectively.
  • Proficiency in creating purchase orders and managing inventory.
  • Strong written and verbal communication; professional demeanor.
  • High school diploma or GED required; bachelor's degree preferred.

Responsibilities

  • Review requisition orders for compliance with capital budget.
  • Route and communicate capital change orders for approval.
  • Maintain fleet and equipment records in computerized systems.
  • Prepare and assign purchase orders for management approval.
  • Review POs to ensure accuracy and proper payment of invoices.
  • Coordinate purchasing with vendors and up-fitters.
  • Reconcile capital requisitions to POs and report status.
  • Resolve data errors and escalate as needed.
  • Coordinate asset disposal activities and proper documentation.
  • Communicate with vendors regarding equipment orders.
  • Other duties as assigned.

** Recology is NOW HIRING a Maintenance Coordinator/Purchasing Coordinator for our Maintenance Department at our corporate office.**

_ This is a high-volume purchasing role responsible for managing over 1,000 purchase orders annually supporting enterprise-wide fleet and equipment acquisitions._

  • This position will be located 5 days a week in our downtown SF Corporate offices.
  • Set schedule: Monday-Friday 7am-3:30pm

** Role of a Maintenance Coordinator/Purchasing Coordinator**

Under general supervision, facilitates and coordinates vehicle and equipment acquisition and disposal activities, maintains DMV and compliance records, posts daily entry of fleet information into the computerized fleet management system, prepares purchase orders for management approval, and receives invoices for payment processing for goods and services received.

** Essential Responsibilities**

  • Review requisition orders to ensure compliance to capital budget.
  • Facilitates the routing, approval and communications of capital change orders.
  • Maintain fleet and equipment records in computerized maintenance management system.
  • Prepare purchase orders for management approval, including the assignment of business unit codes.
  • Review purchase orders to ensure accuracy and proper payment of invoices.
  • Act as point of contact with key vendors to coordinate purchasing activities.
  • Performs reconciliation of all capital requisitions to purchase orders and tracks purchase order transactions to vendors, creating periodic reports for the department with status.
  • Resolve data errors and elevate other errors to management for comparison against identified critical objectives and tasks.
  • Facilitates and coordinates asset disposal activities and ensures all required documentation is completed accurately and timely.
  • As required, communicate with vendors and up-fitters to ensure compliance with company’s needs and expectations on equipment orders.
  • Other duties as assigned.

** Qualifications**

  • Four years of customer service and clerical experience.
  • Previous experience with fleet management systems and knowledge of parts preferred.
  • Knowledge of computer programs, including Microsoft Office suite of applications, fleet management systems, parts, materials and supplies used in shop operations and inventory control.
  • Ability to use computers and technology capabilities.
  • Proficiency in purchase orders, inventory control, etc.
  • Communicate well both verbally and in writing; listen to and understand various viewpoints; share relevant information timely; provide constructive feedback; maintain professionalism.
  • High school diploma or GED required.
  • Bachelor's degree preferred.
