Job summary

Fuel Meals, a growing performance meal company in Greater Philadelphia, is seeking a detail-oriented Purchasing Coordinator to own day-to-day purchasing operations—placing orders, coordinating with production and warehouse, and ensuring ingredient availability.

You'll report to the Head of Purchasing and help scale sourcing practices as the company expands, with a hybrid schedule (3 days onsite, 2 days work-from-home).

Qualifications

• 2+ years in purchasing, procurement, inventory management, or supply chain coordination (food industry preferred).
• Strong Excel/spreadsheet skills, order guides, formulas, and inventory tracking systems.

Responsibilities

• Maintain order guides and reorder logic across food, packaging, and operational supplies.
• Place and track purchase orders with suppliers; manage par levels and safety stock.
• Coordinate daily with production/operations on ingredient availability and delivery timing; flag disruptions.

Fuel Meals is a rapidly growing performance meal company building scalable, high-performance operations from the ground up. As we grow, we're building out our purchasing team to keep pace with new products, categories, and supplier partnerships without compromising our sourcing standards.

About the Role

We're looking for a detail-oriented Purchasing Coordinator to own the day-to-day execution of our purchasing operations — from placing purchase orders to coordinating with production and warehouse on ingredient needs. This role reports directly to our Head of Purchasing and is the operational backbone of our supply chain.

This is a great fit for someone who loves systems, catches details others miss, and wants to grow into a larger purchasing or supply chain role as the company scales.

What You'll Do

Inventory & Ordering Operations

• Maintain order guides and reorder logic across food, packaging, and operational supplies categories
• Place and track purchase orders with suppliers
• Manage par levels and safety stock to prevent shortages or overstock
• Reconcile inventory discrepancies and investigate root causes

Cross-Functional Coordination

• Communicate daily with production/operations on ingredient availability and delivery timing
• Coordinate with R&D on ingredient requests for new product development
• Flag potential supply disruptions before they impact production schedules

Execution-Level Compliance

• Check ingredient labels and specs against Fuel Meals' Food & Nutrition Standards
• Collect and organize supplier documentation: Certificates of Analysis (COAs), allergen statements, spec sheets
• Serve as the day-to-day point of contact for existing suppliers
• Resolve shipment discrepancies, quality issues, and invoice mismatches
• Track delivery schedules and proactively communicate delays

Reporting

• Flag emerging issues (stockouts, quality concerns, delivery delays) in a timely manner
• Maintain accurate, up-to-date records across order guides and vendor trackers

What We're Looking For

• 2+ years of experience in purchasing, procurement, inventory management, or supply chain coordination — food industry experience strongly preferred
• Strong Excel/spreadsheet skills; comfort with order guides, formulas, and inventory tracking systems
• Excellent attention to detail — comfortable checking specs and labels against strict standards
• Clear, proactive communicator who can coordinate across production, R&D, and vendors
• Comfortable working in a fast-paced, growing company where processes are still being refined
• Bonus: familiarity with clean-label ingredient standards, food safety/compliance documentation, or ERP/inventory software
• Salary range: $55,000 - $75,000, based on experience
