Position Summary: The Purchasing Coordinator is responsible for the accurate and timely processing of equipment invoices across assigned branches. Key responsibilities include cross-referencing internal spreadsheets with rental portals, maintaining current and accurate equipment logs, and assisting with the resolution of invoice discrepancies and credit issues. This role also provides support to the Equipment Purchasing Agent and plays an important part in maintaining strong relationships with both vendors and internal branch teams. Additional administrative tasks may be assigned as needed to support departmental operations.

Essential Duties and Responsibilities:

  • Work hours 40 hours a week – Monday – Friday. Possible overtime may be required based on workload and deadlines.
    • Work performed in the branch office. THIS IS NOT A REMOTE POSITION.

Daily Functions:

  • Review and process equipment invoices for assigned branches, ensuring accurate pricing and verifying charges to prevent overbilling.
  • Follow up on outstanding credits and resolve invoice discrepancies promptly.
  • Monitor vendor statements to maintain current status in invoice processing.
  • Verify equipment logs match equipment portals for accuracy and consistency.
  • Serve as a backup to the Equipment Purchasing Agent when needed.
  • Distribute weekly equipment logs to all branches for visibility and accuracy of rental and purchase activities.
  • Build and maintain effective relationships with vendors and branch staff to support communication and issue resolution.
  • Perform all other duties as assigned.

Skills/Qualifications: College degree preferred. Strong computer skills with proficiency in Excel, Word, and data entry. High energy with the ability to focus on tasks. Familiarity with invoice processing. Excellent communication skills, ability to manage multiple priorities, and meet deadlines.

Work Environment/Conditions: The employee will work in a busy, informal yet professional office environment. Noise levels are usually moderate but may be high during interactions with vendors and staff. This description does not list all duties; additional tasks may be assigned. Performance will be evaluated based on task completion and overall contribution.
