The Division of Finance and Administration (DFA) provides services and support to over 50,000 students, faculty, and staff with the mission of advancing UCI's brilliant future and the vision of becoming world-class campus partners. DFA serves the university as planning partners, problem solvers, and solutions providers - striving to make it as easy as possible for people to get the services they need, when they need them.

Facilities Management is responsible for the effective operation of Irvine campus buildings, grounds and utilities; for providing a safe, functionally suitable and aesthetic environment in support of academic, research and public service programs of the University. Providing comprehensive management of campus facilities requires the employment of approximately 325 personnel ranging in classification from custodians and groundskeepers to more technical skilled crafts such as electricians and plumbers, and professional design staff and engineers. These services cover more than 150 buildings of approximately 6 million gross square feet, and1,475 acres of grounds. Facilities Management has an annual operating budget exceeding $80 million in expenditures, with operating funds of $30 million and $15 million for reimbursable campus activities. Project Services a construction department within Facilities Management manages a portfolio of major infrastructure and renovation projects totaling $200M per year.


Your Role on the Team

Covered under University series concept / job specification for classification 4722. Under general direction works on operational and/or procedural assignments that require the exercise of considerable discretion and independent judgment. Understands implications of work and makes recommendations for solutions. Determines methods and procedures on new assignments.


What It Takes to be Successful

Required:

  • Thorough knowledge in administrative procedures and processes including word processing, spreadsheet and database applications.
  • Requires good verbal and written communication skills, active listening, critical thinking, multi-task and time management skills.
  • Requires interpersonal and work leadership skills to provide guidance to other nonexempt personnel.
  • Skill to organize and prioritize assignments in order to satisfy the requirements of a variety of customers.
  • Ability to adapt to changes in priorities and to work effectively in an environment subject to frequent interruptions.
  • Skill to establish and maintain courteous and professional relationships with customers and vendors from diverse backgrounds.
  • Knowledge of materials used by trades and maintenance personnel.
  • Ability to gather and analyze data.
  • Effective verbal and written communication skills.
  • Skill in utilizing Windows-based software, including basic knowledge of MS Excel, Word, email, and internet.
  • Knowledge of University policy and procedure related to low value purchasing and of accepted business practices in public procurement.
  • Ability to maintain high ethical and professional standards.
  • Ability to establish and maintain accurate files and records.
  • Ability to identify and locate sources for goods and services.
  • High school diploma or equivalent experience
  • 1-3 years customer service


Preferred:

  • Knowledge of, and skill to input and extract data from "PAL" system.
  • Skill in extracting data from "Data Warehouse" system.
  • Skill to operate forklift truck.

The expected pay range for this recruitment is $28.49- $34.66 (Hourly).
