The Part Time Program Specialist supports the Program Manager in the development, coordination, and implementation of programs and services at the Wake Forest Center for Active Aging. This role provides care management, information, and referral services, as well as outreach to active adults and their families, ensuring a welcoming and engaging environment for all participants. Responsibilities include assisting with daily operations, coordinating volunteer instructors, managing schedules, and supporting the execution of activities and events. The Part Time Program Specialist plays a crucial role in enhancing participant engagement, maintaining service quality, and ensuring the smooth delivery of programs. As part of an accredited, award-winning active aging community center with a steadily increasing participation rate, the Part Time Program Specialist contributes to process improvements, customer satisfaction initiatives, and operational efficiency. This position requires strong organizational skills, a commitment to excellence, and a passion for serving the active aging community. This role reports to the Program Manager.

Essential Duties and Tasks
  • Assist the Program Manager in the planning, development, and execution of programs and services tailored to active adults.
  • Collaborate with other staff members and stakeholders to ensure a diverse and engaging range of activities.
  • Provide care management services by assisting active adults and their families with accessing available resources, support, and referrals.
  • Address the specific needs of active adults, ensuring they receive appropriate assistance and guidance.
  • Conduct outreach to active adults and their families, promoting awareness of services and encouraging participation in programs.
  • Create and maintain relationships with active adult participants to foster a welcoming and inclusive environment.
  • Coordinate and manage volunteer instructors, ensuring that they are properly scheduled, supported, and equipped to lead programs.
  • Assist in recruiting new volunteers and maintaining a positive volunteer experience.
  • Manage and maintain schedules for programs, events, and activities to ensure smooth execution.
  • Provide logistical support for events, ensuring that resources, materials, and staff are in place for successful implementation.
  • Support the day-to-day operations of the active adults community center by assisting with program implementation and ensuring high participation engagement.
  • Monitor and evaluate programs to ensure they meet the needs and interests of active adult participants.
  • Contribute to the ongoing evaluation and enhancement of program quality, ensuring that activities meet the center's standards for excellence.
  • Participate in process improvements and customer satisfaction initiatives, helping to ensure operational efficiency.
  • Maintain strong organizational systems to manage participant information, volunteer details, program materials, and other resources.
  • Assist with maintaining accurate records and reporting to the Program Manager.
  • Provide excellent customer service to active adults, families, and staff, ensuring a positive and engaging atmosphere.
  • Address concerns or inquiries promptly and professionally to maintain high levels of participant satisfaction.
  • Collaborate closely with the Program Manager and other team members to ensure effective communication and seamless collaboration throughout the center.
  • Regularly report on program progress, challenges, and outcomes to the Program Manager.
  • May assist with additional assignments, as required.
Knowledge, Skills, and Abilities
  • Knowledge of principles, practices, and programming methods for youth and adults with specific needs.
  • Ability to effectively plan, schedule, execute, and evaluate small and large special events.
  • Ability to plan and coordinate the work of volunteers.
  • Ability to express ideas and communicate effectively in written and oral presentations.
  • Ability to deal tactfully and courteously with the public.
  • Ability to establish and maintain effective working relationships with parents, volunteers, employees, school personnel, citizens, and Town departments/staff.
  • Ability to interpret and explain policies, rules, and procedures to participants, parents, and officials.
  • Proficiency in basic office software packages (MS Office)
